Jeffries & Dibbens is looking for a proactive and organised Estate Agent Administrator Apprentice to join our friendly team.

The Estate Agent Administrator apprentice will provide administrative and operational support to the residential sales team while undertaking a formal apprenticeship qualification in Property Services. The role involves assisting in the day-to-day functions of the sales department with a particular focus on the coordination and documentation required for property listings client communications and sales progression processes.
Training to be provided:
Level 3 Business Administrator Apprenticeship Standard. You will complete a 15-month apprenticeship which includes 12 days at the PETA training centre in Cosham. You will be supported every 6-8 weeks with visits from your PETA Learning & Development Coach.
About the role:
The Estate Agent Administrator apprentice will be responsible for the following duties:
- Provide general administrative support to the sales team including document preparation data entry scanning filing and handling correspondence
- Maintain accurate and up-to-date records on the customer relationship management (CRM) system and property databases
- Assist in the preparation of marketing materials such as property brochures window cards and online listings ensuring that all documentation is accurate and professionally presented
- Register new sales applicants and handle initial enquiries via telephone email and in person
- Schedule confirm and coordinate property viewings and maintain effective diary management for sales negotiators
- Support the sales progression process by preparing sales memos client updates and relevant compliance documentation under supervision
- Monitor and update internal logs for client communications offers received and transaction milestones
- Assist in producing and distributing internal sales reports and activity summaries
- Maintain the professional appearance of the office including marketing displays and customer-facing areas
- Attend training sessions and complete all coursework and assessments related to the apprenticeship programme

Essential Skills:
It is essential that the Estate Agent Administrator apprentice has the following skills and personal qualities:
- GCSEs in maths and English with at least a grade C/4
- Personal drive and highly self-motivated
- Clear and concise written and spoken communication skills
- Excellent telephone manner
- Ability to communicate well at all levels
- IT literate with a good working knowledge of Microsoft Office
