Job Description

Primary Purpose:

Under moderate supervision organize and manage the routine work activities of a central administrative department office and provide clerical support to a director or department head and other staff members.

Responsible for:

  • Clerical services for School Nutrition Services Department
  • Maintenance of Free and Reduced meal applications
  • Maintenance of Point of Sale system
  • Work in various Microsoft Office programs such as MS Excel and MS Word
  • Work with managers at schools and vendors
  • Work in cafeteria units when necessary

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Proficient skills in keyboarding data entry word processing and file maintenance

Ability to use software to develop spreadsheets and databases and do word processing

Ability to prioritize workflow to address the multiple needs of the supervisor or the department

Ability to multi-task numerous complex administrative activities

Basic math skills

Effective communication and interpersonal skills

Bilingual (English/Spanish) helpful

Experience:

1 year secretarial experience

Major Responsibilities and Duties:

Records Reports and Correspondence

  1. Process Free and Reduced applications and maintain database.
  2. Assist in maintaining Point of Sale system.
  3. May assist with ordering groceries and supplies for each campus and distribute as necessary.
  4. Receive incoming calls take reliable messages and route to appropriate maintain and file all reports records and other documents as required.
  5. Compile maintain and file all reports records and other documents as required.
  6. Sort distribute or deliver mail and other documents.
  7. Train and support cafeteria cashiers on specific functions and regulations regarding identification of reimbursable meals. Ensure understanding of basic accounting reports to include daily cash sheets and monthly inventory.
  8. Attend training when necessary.
  9. Demonstrate behavior that is professional ethical responsible and serve as a role model for all district staff.

10. Receive sort and distribute mail and other documents to department staff.

11. Maintain confidentiality of information.

12. Follow district safety protocols and emergency procedures.

Supervisory Responsibilities:

None.

Mental Demands/Physical Demands/Environmental Factors:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress

Days: 200

FISD contributes $365 monthly towards TRS health insurance.

Ability to earn 5 state days and 5 local leave days.
