General Description / Primary Purpose:

The Admissions Processing Specialist is responsible for analyzing undergraduate admission applications and supporting materials including but not limited to degree-seeking non-degree seeking freshman transfer post-baccalaureate and readmission applications and determining admissibility. This position will interpret university and state statutes regulations policies and procedures and will make interpretations for others. This position requires excellent data entry skills attention to detail and the ability to work autonomously prioritizing daily tasks to accomplish unit goals.

Job Function:

In accordance with state and university guidelines and university enrollment objectives this position utilizes professional judgement to determine the eligibility of applicants for admission to UNF based on the analysis of the admission application transcripts standardized tests and supplemental documentation. Prioritizes admission applications based on deadlines established by Enrollment Services and academic departments. Completes processing forms to provide clear documentation of decision process including requests for additional information and contacts with applicants. Maintains a thorough knowledge of current UNF admission and Enrollment Services policies. Acts as a liaison to UNF admissions staff and other academic departments by interpreting and explaining current UNF admission guidelines and policies and verifies application information for other offices and academic departments. Banner Slate and/or OnBase are used on a daily basis in this position.

Perform evaluations on transfer coursework for all incoming and current undergraduate students requiring a thorough understanding of the impact across the University and the computer systems. Enter student test credit into the student information system (SIS) for all applicants. Participate in the rotation of transcript re-evaluations and assignments in the customer relations system (CRM). Contacts other educational institutions to verify and clarify information provided by applicants.

Determines Florida residency for tuition purposes. Enter and change all data in SIS and/or CRM when processing request forms. This includes major changes term changes and withdrawing/declining applications. Provide customer service for incoming calls and emails from applicants students parents faculty admissions counselors high school counselors university partners and others. Special projects and other duties as assigned by the Associate Director or Director of Enrollment Services Processing.

Departmental Requirements:

Strong service orientation and an understanding of speed as a strategy. Banner Slate and/or OnBase experience is preferred. Ability to interpret University SUS and Admissions policies and procedures. Basic mechanical aptitude for operation of office equipment such as a personal computer and copy machine. Manual dexterity to input data accurately and in a timely manner on a PC keyboard. Ability to carry out responsibilities of the position using independent judgment. Ability to sit continuously to perform data input and essential job functions for an 8-hour day. Ability to perform duties in an open/shared space work environment. Visual ability corrected to operate computer to read small type documents. Ability to hear and speak adequately to communicate. Accommodations can be made if required. Knowledge of principals techniques and applications of effective verbal electronic and written communications. Ability to understand basic interpersonal and team building skills and act professionally in the work environment. Ability to deal effectively respectfully and diplomatically with others and maintain a good working relationship with co-workers. They must be willing to assimilate into an office of leaders focused on providing student-centered service and a teamwork mentality as we work to better the services that we provide to students and the UNF community daily.

Supervision Received:

This position is supervised by and reports to the Associate Director of Enrollment Services Processing. General directions will be given by the Associate Director in accordance with departmental and university objectives. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments.


Level of Public Contact:

This position will on occasion travel to represent UNF at workshops meetings and conferences in and out of the state of Florida. The position must be able to work days and evenings. Transportation is the responsibility of the employee. Costs for travel are reimbursed as determined by state guidelines. This position is responsible for speaking to students staff faculty and other individuals who may phone for information relating to Enrollment Services Processing functions. Responding to correspondence in writing and via e-mail is also a responsibility of this position when it is necessary to provide a written record of the response. Daily contact with university administrators faculty and students. May also represent the Assistant Director or above on University committees.


Monetary Responsibility:

This position will assist in monitoring the receiving and processing of Admissions fees. Delay of individual student application process and audit criticism to the university could be consequences of error.


Policy-making and/or Interpretation:

This position must understand state and university admissions policies to assist in all aspects of admissions processing including initial residency and residency reclassification. May be asked to advise students and/or other staff regarding residency requirements or admissions criteria and to interpret test data and grade reports for transfer post baccalaureate and special student populations.


Program Direction and Development:

Assists in the development of best business practices and mandated procedural changes. Responsible for assisting with the enhancement of existing business practices by technological documentary and resource allocation means.

All personal information in relation to an applicants application such as academic records test scores and recommendations are considered confidential; any unauthorized disclosure would be prejudicial to the interest of the University. Responsible for insuring the operating procedures are such that unauthorized disclosure of confidential information is prohibited.

Required Qualifications: A Bachelors degree from an acceptable accredited institution in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
