Job Description

We are looking for an Assistant Manager Admin. This position willbefull-time employment and Location Bangalore -Onsite.

What Youll Do

  • Day-to-day activities to plan direct or coordinate support services of the organization such as Housekeeping Monitoring & Evaluation (M&E) of Security Transportation facility for employees during travel Cafeteria Uniforms Record-keeping Adhoc transport Events Health and Fire Safety Office Seat Allocation Rentals/ Lease of Office space Stationery etc.

What Youll Need

  • Act as first point of contact for employees on Admin related activities.
  • Managing administrative activities that involve purchase of office equipment maintenance of procurement housekeeping safety and security.
  • Work with Vendors to make travel arrangements visa process and hotel reservations for department staff.
  • Housekeeping management- Ensuring proper hygiene of the office premises safety measures of the employees quarterly pest control maintain routine & weekly check lists.
  • Catering management: work with food vendors to ensure safe hygienic tasty food at competitive cost for employees.
  • Assets management- Managing various assets like laptops data cards desktops etc.
  • Adhere to procedures relating to the proper use and care of equipment and bring about awareness among the employees regarding the same.
  • Shall be a SPOC for all event meetings conferences.
  • Responsible for Up keeping office administrative facilities and ensure availability of daily miscellaneous requirements to provide harmonious work culture to employees.
  • Responsible for providing timely information and supervising administrative activities like general admin verification of stationery stock petty cash courier florist pest control housekeeping etc.
  • Work with landlords real estate consultants to get best possible rates for workspaces.
  • Budgeting and optimization for admin activities.
  • Planning organizing providing leadership and controlling of all administrative functions.
  • Identification of dependable SLA driven cost effective vendors for various services maintaining of roster of alternate vendors and vendor accounts.
  • Manage Third Party Service Providers and their deliverables.
  • Tracking of AMC Annual Maintenance Contract for business critical equipment.
  • Promote and maintain High Standards of customer service for all internal clients and stake holders.
  • Keep senior management informed of key issues and changes which may impact expected business operation .
  • Managing Employee Transportation.
  • Business continuity plan for uninterrupted support services to business.
  • Supervision of Proper upkeep housekeeping and repairs maintenance of all office equipmentsassets and the building premises Govt. Liaison.
  • Communicate and provide information by relevant methods internally and externally to assist and enable smooth operations of the organization.
  • Responsible for organizing events employee outings seminars etc.
  • Interpret issues arising and then implement actions according to initiated administrative policies and procedures.
  • Ensure prompt & efficient services with Safe and Environment friendly practices.
  • MIS & Budget Vs Provisions. MIS report every month & Provisions below Budget coordination with Finance on actual.
  • Relook into Cafeteria Operations and empowering the Cafeteria committee in terms of Feedback Vendor finalization transition of vendor Menu / Options Food Festivals etc.
  • Cafeteria Hygiene & Ambience -Closure of Caf Snags - Snag check list and rigor on checks.
  • Co-ordinate with Procurement department for all admin requirements.
  • Outsourced Team Drivers H/K Office Boys etc. - Internal trainings.
  • Have implemented/defined internal processes for the smooth functioning of business operation.
  • Overseeing Guest / Client Management during their visit to Office and their logistic arrangements
  • Keeping a TAB on expiry of Insurance for Company Vehicles
  • Maintaining all the expenses and Purchase order through CRM.
  • Tracking and approving all the monthly bills and statutory charges towards all the aspects of office requirements.
  • Dealing with the building authorities in signing up rate contracts and periodical differences in rent terms.
  • Maintaining emergency response plans for office.
  • Creating Fire exit layouts.
  • Conducting Fire drills on regular basis.
  • Conducting First Aid trainings on regular basis.
  • Maintaining General Risk Assessments forms.

Physical Demands

  • Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings etc.
  • Ability to conduct repetitive tasks on a computer utilizing a mouse keyboard and monitor.
