What exactly are we looking for

Boostern is currently hiring a full-time Account Manager with full-service digital agency experience to manage graphic design digital marketing and web design & development projects to deliver an amazing customer experience and deliver value to our clients in Brussels and beyond. We are seeking a proactive hands-on account manager with an excellent eye for detail who can not only help the CEO step out of project operations but also support our growth by assisting in attracting new clients.

Summary

You will be working directly with the CEO:

  1. Managing up to 5 projects at all times.
  2. Keeping deliverables and clients on time and budget.
  3. Hitting or exceeding all milestone deadlines while building strong client relationships always aiming for the highest quality and customer satisfaction.
  4. Collaborating and managing a team of 10 contractors.
  5. Maintaining excellent written and verbal communication with clients and team at all times while using our processes and project management systems (ClickUp)
  6. Assisting in documenting refining and keeping our internal processes (Scribe) up to date.
  7. Assisting the CEO in actively prospecting and approaching potential new clients using a structured methodology and feeding the team with exciting new projects.
  8. Joining the CEO in discovery calls and translating the needs of existing and potential clients into solutions and converting those into concrete project briefs.
  9. Being an integral part of our sales process preparing proposals and presentations in coordination with the CEO and closely following up with the client.

Outcomes

1. Manage up to 5 projects on time and on budget.

  • Lead project kickoff meetings.
  • Create and proactively follow up on the project schedules and plans in ClickUp.
  • Manage the fulfilment team to produce outcomes for clients to scope specifications and within the stated project budget.
  • Keep projects on schedule and budget.
  • Proactively run Quality Assurance (QA) on outputs created by the production team before delivering it to the client to ensure the highest standards of quality.
  • Keep the client and team up to date with weekly progress reports and consistent follow-ups via email and our project management tool.

2. Develop maintain and enforce our process playbook and SOPs.

  • Audit current operational practices and align them with clearly documented Standard Operating Procedures (SOPs) using Scribe.
  • Develop and maintain a scalable production playbook to streamline project delivery and onboarding of new team members.
  • Actively identify inefficiencies and propose improvements to internal workflows to enhance quality and client experience.
  • Ensure all relevant team members are trained and compliant with documented processes.

3. Track performance

  • Ensure time tracking of billable and non-billable working hours to support accurate client quoting ensure profitability and maintain full transparency across internal and client-facing activities.
  • Track and report on business development and sales performance metrics via a weekly scorecard

4. Support business development and sales activities.

  • Support the CEO in executing a targeted outreach strategy including researching and identifying qualified leads drafting outreach messages and maintaining a prospecting pipeline.
  • Attend discovery and qualification calls with potential clients actively participating in identifying needs and translating them into actionable proposals.
  • Collaborate on the development of proposals pitch decks and tailored presentations aligned with client expectations.
  • Ensure consistent follow-up with prospects and assist in converting leads into active projects with clear scopes and timeline..
  • Maintain CRM entries and sales documentation to support a predictable business development pipeline.

Requirements

Role Competencies

  • Proficiency in project management methodologies and tools (e.g. ClickUp). Ability to manage multiple projects simultaneously and prioritise tasks effectively
  • Familiarity with procurement processes including analysing and responding to tenders and Requests for Proposals (RFPs) particularly within EU contexts
  • Strong understanding of and passion about digital marketing graphic design branding web design and development processes and technologies
  • Ability to translate nonprofit challenges into effective digital and design solutions
  • Ability to write clear project briefs updates and regular email communication
  • Ability to lead team and client meetings with confidence to give direction
  • Ability to stay on schedule and keep others on important tasks
  • Ability to provide project vision and plan.
  • Strong virtual networking skills and in building relationships remotely
  • Basic understanding of how the so-called EU Bubble operates
  • Creative with a sharp eye for quality-oriented visual content
  • Familiarity with reporting on KPIs and data-driven reporting
  • Familiarity with GDPR and other data protection regulations

Qualifications

  • Proficiency in both written and spoken English. (fluency in Dutch French or another relevant European language is a strong plus)
  • A degree in Communications Marketing Public Relations or International Relations
  • Certification or equivalent years of experience in Project Management and Business Development.
  • 2-3 years of experience managing creative or digital agency projects or working at a public affairs or communication consultancy
  • Knowledge of project management and business development principles and practices.
  • Knowledge of human resource principles and practices to manage full-time and contract team members.
  • A native to IT & AI: Familiar with and have used or mastered some or all of the technologies weve listed below. The more the better.

Can I work remotely for this job or do I need to be based in Brussels Belgium - This role is remote-first. We are looking for people who are ideally based in Europe in the Central European Timezone (CET - GMT2) and being located in either Hungary or Belgium is a plus.

What benefits do you provide - We currently offer 20-24 days of paid annual leave per year in line with Belgian leave policy flexible working hours and optionally private health insurance and gym membership.
