Future Transition to Administrative Assistant/Office Manager
At Unparalleled Preparatory Academy (UPA) we are redefining education through career immersion design thinking and leadership development. We are looking for a Community Outreach Specialist to drive student recruitment efforts engage with families and the community and support administrative functions. This role will be pivotal in ensuring that UPA reaches and enrolls students while also providing essential office management and administrative support as the school grows.
Primary Purpose
The Community Outreach Specialist will focus on student recruitment family engagement and community partnerships while supporting the daily operations of UPA. This position will transition into an Administrative Assistant/Office Manager role as the schools administrative needs increase.
The ideal candidate will have strong organizational skills experience with community outreach and the ability to manage office functions efficiently. They must be proactive adaptable and comfortable handling both external relationship-building and internal administrative responsibilities.
Key Responsibilities
Community Outreach & Student Recruitment
- Lead student enrollment efforts by building relationships with families attending community events and implementing outreach strategies.
- Develop and execute recruitment campaigns via social media local events and school visits.
- Serve as the first point of contact for prospective families answering questions and guiding them through the application process.
- Coordinate and host school tours information sessions and community engagement events to promote UPA.
- Track and report enrollment data to ensure outreach efforts are meeting recruitment goals.
- Build partnerships with local organizations churches and businesses to expand community awareness and support for UPA.
Administrative & Office Support
- Provide advanced clerical and administrative support to ensure smooth school operations.
- Manage student application records and ensure proper documentation is maintained.
- Organize and maintain office files reports and department communications.
- Schedule meetings interviews and events for school leadership including preparing materials and making necessary arrangements.
- Assist with purchasing budgeting and tracking school expenditures.
- Answer calls greet visitors and provide assistance to students staff and parents.
- Oversee office supplies and ensure the office remains organized and efficient.
Qualifications
Education/Certification:
- High school diploma or GED equivalent (required).
- Bachelors degree in marketing communications business administration or a related field (preferred).
- Must successfully pass a fingerprinting background check.
Required Experience:
- At least 3-5 years of experience in outreach recruitment customer service or administrative support.
- Experience with community engagement event planning and relationship-building preferred.
- Administrative or office management experience is a plus.
Special Knowledge/Skills:
- Strong interpersonal and public relations skills to engage families and community members.
- Excellent organizational and time-management skills to balance outreach and administrative duties.
- Proficiency in office technology (Microsoft Office Google Suite CRM tools social media platforms).
- Ability to work independently take initiative and manage multiple projects at once.
- Bilingual (Spanish/English) preferred but not required.
