CLIENT PROJECT COORDINATOR - ASSISTANT TO ATTORNEY

Youll be organizing details tracking progress and helping others stay on task. You dont need to know the law right away to be good at this job. But you do need to be the kind of person who:

  • Has a grasshopper mindset. You can move between subjects projects and clients without losing the thread. You keep your work clean structured and prioritized not because youre doing everything at once but because you understand what needs to happen now and what can wait. Youre organized but flexible. When the pace picks up you stay steady.
  • Leads with humility. You ask good questions take feedback seriously and dont need a spotlight to do your best work. Youre not here to impress - youre here to contribute. You work well with a range of personalities including clients who are under stress or attorneys who are juggling competing demands.
  • Uses sound judgment. You know how each person operates and you adjust your style accordingly. Youre clear tactful and professional. You dont rush to conclusions or disappear when somethings unclear you ask. Youre discrete. People trust you and thats not an accident.
  • Follows through. You keep track of what needs to happen and you make sure it does. If theres a better way to do something you say so. This role is part of a small high-trust team in a private client law firm. The attorney youll support is steady thoughtful and gives a wide runway to people whove earned it. Youll have autonomy room to make decisions and the expectation that you communicate clearly manage your work and speak up when something doesnt sit right. Its a great setup for someone who thrives on taking ownership of their work.

RESPONSIBILITIES

This is a support role with depth: part project manager part client coordinator part legal assistant. Youll be central to keeping things organized accurate and moving across a high-touch legal practice. Your work will include:

  • Coordinating across clients attorneys and staff to keep projects on track especially when multiple people or practice areas (like estate planning corporate or real estate) are involved
  • Maintaining hands-on client contact through emails calls and follow-ups to gather information schedule meetings and answer process questions
  • Managing tasks and timelines for each client matter and keeping track of whats done whats outstanding and making sure nothing falls through the cracks
  • Preparing standard legal documents like powers of attorney and entity filings and coordinating related tasks such as signatures and Secretary of State filings
  • Contributing to operational efficiency by improving how information is tracked organized and shared especially when it comes to internal systems or billing workflows
  • Using tools and tech thoughtfully from Microsoft Office to AI-based productivity tools to streamline repeatable tasks and improve the client experience
  • Providing steady proactive support that allows the attorney you support to stay focused on legal strategy whether that means anticipating needs managing client communications or simply keeping everything in motion

**This is a full-time position based in Cincinnati OH and operating during standard business hours. The role offers flexibility to work remotely hybrid or in-person with in-person availability being preferred.**


QUALIFICATIONS

Required

  • Customer service background - we welcome all forms of experience as long as youve delivered a service and done it well (hospitality retail frontline healthcare professional services its all welcome)
  • Proficiency with Outlook Word and Excel
  • Comfortable talking on the phone
  • Able to write clear professional emails
  • Demonstrated self-leadership (you manage your time priorities and follow-through without needing close supervision)

Preferred

  • Understands how a law firm works
  • Paralegal background (certificate is fine but not required)
  • Experience in working with financial professionals
  • Support role experience - especially where coordination and follow-through were key

Desired

  • Certified Trust and Fiduciary Advisor (CTFA) certification is wonderful!
  • Local is even better!

Salary: $60000 - $80000 (DOE/commensurate with experience)
