The .6 FTE Clerk provides essential administrative and clerical support serving as a vital link between the Registration Office and the Office of Student and Family Support. This role is responsible for maintaining accurate records facilitating communication and assisting with various administrative tasks to ensure the smooth onboarding for families and support for the Office of Student and Family :Education: High school diploma or equivalent required; Associates degree or relevant administrative certification : Minimum of 2-3 years of administrative or clerical experience preferably in an educational or customer service environment. Experience with student record systems or database management is a & Abilities: Proficiency in Google Suite (Docs Sheets etc.) as well as the ability to utilize electronic platforms to streamline efficiency. Excellent organizational skills with strong attention to detail and to manage multiple tasks prioritize effectively and meet deadlines in a fast-paced ability to maintain confidentiality and handle sensitive information with self-motivated and able to work independently as well as collaboratively within a with FERPA regulations or a willingness to learn interpersonal and communication skills and will serve as a warm welcome to families new to Billerica Public Responsibilities:Handle all sensitive student and family information with the utmost confidentiality and discretion adhering to relevant privacy policies (e.g. FERPA).Registration - Under the Direction of the Director of Data Systems & Registration:Greet direct and assist students and families with the student registration registration in the Aspen portal carefully verifying proof of residency health records etc. Provide family outreach via phone to schedule appointments to review and follow-up with any missing information by notifying the parent of any outstanding documentation. Contact sending school when necessary set up translation services to be available at the registration meeting(s).Upload documents to Aspen and scan specialized documents to the appropriate personnel. Add alerts in Aspen when needed (e.g. 504 IEP ELL legal health plans etc.)Any other assigned duties to support the Director of Data Systems & and Family Support- Under the Direction of the Director of Student & Family Support:General maintenance of cumulative folders at BMHSPrepare and send out transcripts for BMHS AlumniAdjustments to the student information system as appropriate such as year of graduation change of home address etc. Communicate with third-party verification companies to verify Alumni graduation datesSubmit payment requisitions as neededCommunicate with families owing money for Advanced Placement examsAny other assigned duties to support the Director of Student & Family SupportReports to: Director of Data Systems & Registration and Director of Student & Family SupportTerms of Employment: This is a twelve-month part-time (0.6 FTE) position with the specific schedule to be determined with the employee. May require occasional flexibility in hours to support events or peak periods. Work is performed in a professional office environment.
