Responsibilities
Responsible for all administrative functions for the Service Office.
Responsible for making sure all charges are charged correctly to appropriate jobs.
Responsible for seeing that all work-orders are set up with model and serial number and customer signature when work is performed in the shop.
Responsible for monitoring work-order exception report changing & coordinating with customers any updates to establish totals.
Ensure that sufficient work is processed to maintain a high level of retail work and that proper measures are taken to achieve goals set.
Develop and maintain all service efficiency to stay current on all ongoing jobs.
Observe service personnel in repair circumstances and provide the coaching necessary to develop diagnostic safety clean efficiency and effective high-quality work.
Maintains a neat and orderly office and shop area a regular housekeeping program should be in place to ensure a clean and very well-organized service department.
Works closely with the Sales and Parts Departments giving special attention to customer satisfaction.
Responsible for working with parts personnel on expediting all backorder parts placed on a unit down order daily and advising the service manager if there is a problem with any shipping date.
Assist ServiceManagerin making sure all jobs are within estimates and advice customer if applicable.
Responsible for monitoring work in process daily where an estimate letter has been issued.
Responsible for maintaining file for paper flow error i.e. time cards claims.
Responsible for maintaining service office phones and taking incoming calls.
Responsible for keeping all jobs under supervision on time and within estimate working with the Service Managerto keep all jobs current and moving through service in an efficient/timely manner.
Responsible for closing notes for work-orders on a daily basis and see that parts are credited from closing jobs.
Review work in process weekly for any outstanding work-orders that should be closedfollow through with closing the work-order and report same to Service Manager.
Responsible for entering all miscellaneous charges to work-orders have maintenance printout with proper copies attached and insert into work-order folder.
Follow all service procedures and see that errors are kept to a minimumfollow all directives without delay.
Maintain a clean and current service report file of work-orders being closed.
Qualifications
3-5 years of diesel mechanic experience preferred
2-3 years ofFleet or dealership experience
Strong leadership interpersonal math and writing skills
Ability to prioritize work in a dynamic environment
Strong organizational and communication skills is a must
Management or customer service experience
High school diploma or equivalent required
