HVAC Install Coordinator
Job Summary: We are seeking a highly organized and detail-oriented HVAC Install Coordinator to oversee and coordinate residential and/or commercial HVAC installation projects. The Install Coordinator plays a critical role in ensuring jobs are scheduled efficiently materials and permits are ready and communication flows smoothly between customers technicians and internal teams.
Key Responsibilities:
- Schedule HVAC installation jobs ensuring crews and equipment are assigned appropriately
- Coordinate permits inspections and material deliveries for each job
- Communicate with customers to confirm appointments answer questions and provide updates
- Track job progress and update status in scheduling or CRM software
- Work closely with install managers warehouse and sales teams to resolve issues and avoid delays
- Maintain accurate records for installations including equipment labor hours and job costs
- Ensure technicians have necessary job information documents and materials before dispatch
- Respond quickly to last-minute changes cancellations or rescheduling needs
- Assist with follow-ups for inspections customer satisfaction and warranty registrations
Qualifications:
- 2 years of experience in HVAC construction scheduling or project coordination
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficient in dispatching or scheduling software such as Service Titan.
- Working knowledge of HVAC systems and terminology is a plus
- Ability to work under pressure and manage shifting priorities
- Customer service experience in a fast-paced setting
- Experience coordinating multiple crews or technicians preferred
- Understanding of local permit and inspection processes preferred
