Job Description

We are seeking an Data Entry Clerk to join our management team. This role focuses on reviewing incoming mail scanning documents and ensuring timely digital delivery to remote employees. Additionally the position includes serving as a backup receptionist providing front-desk coverage and customer service support as needed.

Report to: Office Manager

Position Type: Full-Time/ Non-Exempt

Pay Range: $19.00 to $20.00 per hour


Key Responsibilities:

  • Receive open and sort incoming physical mail and packages.
  • Review documents for completeness and accuracy before scanning.
  • Scan and digitize documents using high-speed scanners and document management software.
  • Categorize and label scanned files according to company protocols.
  • Upload and distribute scanned documents to appropriate remote staff via secure channels.
  • Maintain accurate logs of incoming and processed mail.
  • Assist with filing archiving and retrieving physical and digital records as needed.
  • Communicate with remote employees to confirm receipt and resolve document-related issues.
  • Serve as backup receptionist including:
  • Greeting and directing visitors in a professional manner.
  • Answering and routing incoming phone calls.
  • Managing front desk inquiries and providing general administrative support.
  • Ensure confidentiality and security of sensitive information at all times.
Requirements
  • High school diploma or equivalent required.
  • Previous experience in data entry administrative support or mailroom operations preferred.
  • Experience in a receptionist or front-desk role is a plus.
  • Proficiency with scanning equipment and document management systems.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and manage time effectively.
  • Excellent communication and interpersonal skills.
  • Familiarity with Microsoft Office Suite and cloud-based file sharing tools.

Work Environment:


Primarily office-based with regular handling of physical documents.

Coordination with remote teams via email chat and video conferencing.

Occasional front-desk coverage and visitor interaction.

May require occasional lifting of packages or boxes (up to 25 lbs).
