Job Description

Position Summary

Seabird Island is committed to enhancing employment and career development opportunities for community members. We are seeking an Administrative Assistant to support the Employment Services department and assist clients in achieving their employment and training goals.



Under the direction of the Employment Training and Income Assistance Department Manager the Administrative Assistant provides administrative support including answering phones booking appointments file management and performing other clerical duties. The successful candidate will provide exceptional courteous and professional customer service to clients from diverse backgrounds and engage in community relations activities to support clients and the departments goals.


This is a 6 week term contract.

What youll do

Administrative Support and Communication

  • Assist with organization and manage the administrative activities of the Employment Services Supports program.
  • Answer general phone inquiries in a professional courteous and timely manner.
  • Respond to general information requests with accurate and relevant information.
  • Greeting clients and visitors professionally ensuring a welcoming atmosphere.
  • Forward incoming general emails to the appropriate staff members promptly.
  • Code and file materials according to established procedures for easy retrieval.
  • Complete operational requirements by scheduling and assigning administrative tasks ensuring efficient and timely execution.



Mail and Inventory Management

  • Sort and distribute incoming mail and courier deliveries in a timely manner.
  • Prepare and send outgoing mail and courier parcels accurately.



Other Duties

  • Additional responsibilities as needed to support the community and uphold our shared values.


    Working / Special Conditions

    • Initial and ongoing employment is subject to submission of a clear Criminal Record Review Program Check to ensure the safety and trust of the communities we serve. This check will be conducted every five years.
    • Initial and ongoing commitment to the values and guidelines of Sqwqel (Seabird Island Band) including our policies procedures standards of practice and laws is essential. This commitment supports our collective work the community and the responsibilities of this role.
    • Flexibility in working hours may be required including evenings and weekends to accommodate the needs and schedules of events meetings and engagements. Employees will be given as much notice as possible to any changes in schedule.



    What you Bring

    Qualifications

    • Experience working with Indigenous communities and understanding of Indigenous cultures traditions and contemporary issues.
    • Excellent communication and relationship-building skills.
    • Proven experience in office management clerical duties and client interaction.
    • Strong proficiency in Microsoft Office Suite (Word Excel Outlook) and database management.
    • Excellent organizational and multitasking abilities with attention to detail.

    Preferred

    • Indigenous candidates are strongly encouraged to apply.
    • Lived experience as a member of a First Nations community.
    • Knowledge and understanding of Seabird Islands culture traditions teachings community dynamics.
    • Ability to respond quickly and professionally to community or colleague needs and inquiries.
    • Excellent writing editing and verbal communication skills.

    Cultural Competency:

    • Deep understanding of Indigenous cultures traditions and contemporary issues.
    • Experience working within Indigenous communities and applying culturally safe practices.
    • Understanding of intergenerational trauma and its impacts on Indigenous peoples and communities.
