The Opportunity
WSDOT is seeking a dedicated energetic and experienced senior administrative professional to serve as the principal assistant to the Directors of Budget and Financial Analysis and Innovative Partnerships. This position is located in Olympia WA and eligible for telework. In this pivotal role you will provide confidential administrative support to two divisions critical to the agencys success ensuring seamless coordination of schedules meetings and division operations. With a strong focus on communication time management and independent decision-making this position plays a key role in supporting financial planning innovative partnerships and overall operational excellence at WSDOT.Our top candidate must be professional organized and reliable with the ability to work independently as a knowledgeable team member on a wide array of issues projects and tasks. What to Expect
Among the varied range of responsibilities held within this rolethe Administrative Assistant will:
- Maintain directors calendar schedules meetings and manages correspondence.
- Independently compose correspondence on behalf of the directors.
- Coordinate directors schedule prioritize meetings and appointments to support the directors in meeting assigned deadlines; schedule meetings owned and facilitated by the BFA director.
- Keep directors and team members informed of significant items requiring review and/or action.
- Summarize incoming information and makes recommendations regarding appropriate action and follow up; follow up on correspondence assigned to staff for response.
- Serve as delegated authority to approve leave requests and timesheets for the Directors direct reports.
- Exercise sound judgement sensitivity and confidentiality about office issues.
- Act as the primary travel coordinator for division staff; manage travel arrangements under WSDOT travel policies.
- Serve as division Timekeeper.
- Determines need for and coordinates purchasing and maintenance of equipment and supplies.
- Establish and maintain filing system in accordance with records retention policies; participate as a key member in strategy meetings; establish and implement office procedures. Coordinate records retention migration transfer and disposition of records with appropriate parties to ensure proper management of records.
- Receive and screen office visitors and telephone calls by answering questions and refer to appropriate staff for response.
Qualifications
To be considered for this opportunity the following are required:
- Three (3) years of recent experience providing progressively responsible professional-level administrative support to senior level managers.
- Knowledge of State governmental organization and administrative procedures; central budget and fiscal planning office functions; office methods and procedures; research methods and data collection; state and agency functional and personnel policies.
- Ability to travel to off-site meetings and trainings.
- Ability to relocate boxes and materials weighing up to 25 pounds.
- Effective verbal and written communication skills
- Exceptional organizational and time management skills.
- Ability to make sound decisions and act on behalf of the Directors in administrative matters.
- Ability to learn and master new tasks quickly.
- Skills and demonstrated ability to use software products effectively: (i.e. Microsoft O365 Canva) to provide administrative support to teams.
- Demonstrated ability to:
- Meet deadlines
- Handle confidential correspondence and documents with discretion
- Establish and maintain effective working relationships
- Be flexible and work in rapidly changing environment
- Perform complex administrative support duties
- Use independent judgement to accomplish assignments and solve problems. speak before groups effectively; compile written reports; obtain the cooperation of other departments and other governmental agencies; work effectively with others.
It is preferred that qualified candidates also have:
- Experience managing content on website Microsoft SharePoint and TEAMS.
- Government Experience.
- Experience with WSDOT systems.
- Experience creating workflows in SharePoint.
- Experience with Power BI.
