Job Description

Summary of Duties:

The Health Information Management Record Analyst and Policy and Procedure Software Administrator is responsible for tasks related to the management of medical records and policies and procedures. Key duties include compiling validating processing and maintaining records in compliance with legal regulatory insurance and ethical standardsparticularly those governing healthcare and behavioral health documentation. This role involves analyzing and auditing medical records to ensure both quantitative and qualitative accuracy. The analyst manages and organizes data across various formats including paper digital files and electronic health records (EHR). Additionally this position supports the organization upkeep and preparation of records for accreditation licensing audit processes and is the system administrator for policy and procedure software that Tennyson uses.

Responsibilities:

  • Manage the release of medical and behavioral health information in accordance with HIPAA and organizational policies.
  • Document Facility School Attendance within the electronic health record (EHR).
  • Review and resolve error reports related to medical documentation.
  • Conduct concurrent audits of clinical documentation for compliance and quality assurance.
  • Administer PolicyTech and support policy management processes.
  • Serve as the backup system administrator for the EHR platform.
  • Process medical record information to ensure completeness and quality across all TCC program areas including Residential Treatment Community-Based Family Services Outpatient Clinic and Day Treatment programs.
  • Utilize standardized audit tools to review medical records including assessments treatment plans milieu notes progress notes psychiatric documentation and other clinical content.
  • Verify all documentation for required signatures and send signature requests via TCCs electronic signature platform.
  • Generate and distribute bi-weekly incomplete documentation notifications to appropriate staff ensuring timely and accurate record completion across all programs.
  • Securely distribute client documentation to team members (caseworkers GALs outside therapists guardians etc.) using encrypted email or other approved methods per TCCs operational procedures.
  • Ensure all paper Medication Administration Records (MARs) from the medical unit are scanned and uploaded into the EHR.
  • Conduct quarterly audits of EHR records using established audit tools and report findings to department leadership.
  • Assist with compiling and providing documentation for external agency reviews or audits.
  • Serve as a subject matter expert (SME) for the electronic health record system.
  • Scan paper documentation and integrate it into the electronic health record to ensure a complete digital file.
  • Upload and organize digitized medical records within the EHR.
  • Analyze healthcare records for accuracy completeness timeliness and compliance with regulatory and internal standards.
  • Maintain and update forms used in the documentation process as needed


Education and Experience Equivalencies:


  • Health Information Management or Information Technology work history is desirable or associate/bachelors degree in health information management or another related field.
  • Experience with Microsoft Word ADOBE EXCEL and Microsoft TEAMs products.
  • Excellent interpersonal and communication skills including ability to work collaboratively and respectfully with a diverse group of people.
