As the Counselor Assistant for the Oregon Commission for the Blind (OCB) you are responsible for providing front desk reception coverage administrative support direct case service and client support in cooperation with professional staff who provide service to clients served in our Portland office. This includes completing compiling and assisting clients with forms entering information into case management system assigning clients to counselors assisting in orientation providing client interaction observation documentation and case file maintenance. Additionally you will answer questions about OCB services share local and national resources related to persons with vision loss and make appropriate referrals to other services/agencies/entities as appropriate.
This position reports to the Business Manager of the Oregon Commission for the Blind and provides support for the OCB Vocational Rehabilitation staff including but not limited to: scheduling appointments conducting in-takes obtaining medical records filing keeping client files up to date reporting documentation and reconciling invoices to client authorizations. This position also provides administrative support to other field offices throughout the state based on agency needs.
Please Note: This position is not suitable for remote or hybrid work in-office duties are required for the position to meet agency and department missions.

What We Are Looking For
Minimum Qualifications:
One year of experience assisting professionals in one or more of the following specialized social program areas:
economically disadvantaged
substance dependent
mentally or physically disabled
child abuse and neglect
juvenile delinquent
ORAny degree in a related mental health or human services program may substitute for six months of the required experience.
Underfill Opportunity:
The goal of this recruitment is to fill this position as a Human Services Assistant 2. However if the successful applicant does not meet the minimum qualifications for the Human Services Assistant 2 classification but does meet the minimum qualifications for the Office Specialist 2 classification the applicant will be appointed to the classification of Office Specialist 2 (SR 15 $3429.00- $4622.00). The duration and conditions surrounding the assignment and supervision of work are determined at the time of appointment.
Desired Attributes:
Strong working knowledge of general Microsoft products i.e. Word Excel Teams PowerPoint and Adobe software.
Experience using Electronic Case Management systems.
Ability to create organize and maintain client filing systems and client contact lists.
Experience assisting staff clients and customers with general requests and being an initial point of contact by phone email and in person.
Proficiency in generating a wide variety of complex documents i.e. Surveys applications and forms.
