Job Summary:
The Director of Database Services and Volunteers is a detail-oriented and organized professional who supports the Development team through database management reporting and administrative coordination. This role requires proficiency with RE/NXT and related systems excellent communication skills and a strong ability to manage multiple responsibilities.
Under the direction of the Chief Advancement Officer the Database and Volunteer Manager performs in a shared services role across the organization providing assistance to all Heritage Foundation divisions. Additionally this role is responsible for managing and improving the organizations donor database operational functions and its critical components.
Duties/Responsibilities:
Database Management (RE/NXT):
Manage user accounts and roles
Create and maintain campaigns funds appeals and events
Run donor wealth screenings via ResearchPoint
Gift & Donation Processing:
Batch and process gifts regularly
Generate and distribute donor acknowledgment letters
Reconcile monthly donations with Finance including online ACH and third-party sources
Reporting & Reconciliation:
Prepare weekly budget vs. actual reports
Support monthly pledge reconciliation and capital campaign tracking
Run reports for auditors and leadership as needed
Membership Management:
Send monthly renewal letters and update donor records
Coordinate appeal codes and mailing components
Event Support:
Set up events in RE/NXT and pull registration lists
Coordinate petty cash and stipends for festivals
System Coordination:
Work with tools such as SwipeSimple Unified Commerce Import-o-Matic OneCause Benevity and Sign-Up
Maintain data integrity and perform regular database clean-up
Volunteer Coordination:
Recruit schedule and manage volunteers for all organizational events including festivals and donor engagement activities
Ensure volunteers are well-informed properly assigned and supported throughout their participation
Maintain accurate volunteer records and serve as the primary point of contact for all volunteer-related needs
Required Skills/Abilities:
Proficiency with Blackbaud RE/NXT (required)
Experience in donor database management and gift processing
Strong Excel and reporting skills
Detail-oriented with excellent organizational abilities
Comfortable working across teams and managing multiple priorities
Scope and Accountability:
Supervision Exercised: Minimal supervision. The role does not require oversight of other employees but will supervise volunteers at events.
Complexity of Duties: Moderate decision-making. Decisions are expected to be made independently within established guidelines. For complex or high-impact decisions the role seeks input or approval as needed.
Fiscal Accountability: Limited fiscal responsibility. The employee occasionally makes small spending decisions but is not responsible for creating or adhering to a budget.
Education and Experience:
3-5 years of experience is required.
An Associates Degree or Certification in a related field is preferred.
bCRE certification is preferred.
Work Environment and Physical Demands:
This is an on-site role in a professional office setting with occasional evening and weekend hours for events. The position requires regular computer use and the ability to lift up to 25 pounds.
