Job Description

  • Provide comprehensive administrative support to the Engineering Team including handling initial enquiries processing quotations tracking purchase orders (POs) managing procurement follow-ups and maintaining accurate records.
  • Support documentation activities related to certification processes ensuring compliance with applicable standards and timely submission of required documentation.
  • Assist with ERP-related tasks including the creation and maintenance of Bills of Materials (BOMs) updating item master data and coordinating with relevant departments to ensure data accuracy and system integrity.
  • Manage commercial activities such as invoice processing vendor payment follow-ups and generation of RIDEC invoices.
  • Ensure timely preparation of various monthly engineering reports by consolidating inputs from multiple stakeholders.
  • Coordinate with engineers on Health Safety and Environment (HSE) matters ensuring that assigned action points are tracked and closed effectively.
  • Maintain and update team organization charts prepare presentations coordinate training needs manage travel plans and support onboarding and induction for new team members.
  • Oversee office facilities and space planning and assist with onboarding logistics for new hires.
  • Contribute to local Corporate Social Responsibility (CSR) and Environmental Social and Governance (ESG) initiatives ensuring alignment with the Groups strategic goals.
  • Perform other duties as required to support the team and organizational objectives.

Qualifications :

  • Education: Engineering Graduate or Postgraduate degree.
  • Experience: Minimum of 34 years of proven experience in technical support roles preferably within an engineering or project-based environment.
  • Technical Skills:
    • Proficient in Microsoft Office Suite especially Word Excel and PowerPoint.
    • Experience with documentation management systems.
    • Familiarity with ERP systems particularly in handling Bills of Materials (BOMs) and item master data.
    • Experience in data analytics including the ability to interpret and visualize data for reporting and performance tracking.
    • Hands-on experience with BI dashboards (e.g. Power BI Tableau or similar tools) for creating and maintaining interactive reports and dashboards.
    • Understanding of AI concepts and applications particularly in process automation or data-driven decision-making.

    • Strong verbal and written communication skills.
    • Ability to coordinate effectively with cross-functional teams and external stakeholders.
  • Organizational Abilities:
    • Highly organized with a demonstrated ability to plan prioritize and coordinate team activities.
    • Capable of managing multiple tasks and deadlines with minimal supervision.
  • Work Ethic:
    • Goal-oriented and proactive with a strong sense of initiative.
    • Committed to delivering high-quality work with attention to detail and accuracy.
    • Results-driven with a continuous improvement mindset.
  • Additional Attributes:
    • Experience in supporting certification processes and compliance documentation.
    • Exposure to CSR and ESG initiatives is a plus.
    • Adaptable and collaborative team player with a positive attitude.
