Accounting Associate
APA! BACKGROUND: Austin Pets Alive! (APA!) is one of Austins most dynamic and best-loved nonprofits. The organization is the leader in the no-kill movement nationally and is considered a national thought leader in animal welfare. APA! locally rescues treats and adopts out 10000 homeless dogs and cats each year providing the safety net for Austins most at-risk shelter pets which helps Austin to be a no-kill city while also assisting other communities in saving homeless animals. The organization is distinguished by the scrappiness of its grassroots non-traditional community-based animal rescue work.
The organization continues to innovate best practices to save lives and teaches its renowned lifesaving model through American Pets Alive! APA!s national division. In 2020 AmPA! began the Human Animal Support Services (HASS) project a collaborative movement of more than 10000 animal welfare professionals working in nearly 1900 organizations. HASS is the first-of-its-kind collective of shelters and animal welfare professionals coming together to build community-focused animal services that better meet the needs of people and pets by keeping human-animal families together and keeping pets unnecessarily out of shelters.
BRIEF POSITION SUMMARY/OVERVIEW:
Provide accounting support to Austin Pets Alive! Finance department and management by processing accounting data and transactions. Facilitate the day-to-day bookkeeping functions of the organization including but not limited to timely and accurate recording of all expenses paid through checks electronic funds transfers and credit card charges and timely and accurate recording of all revenue such as contributions grants pledges adoption fees and other earned income. This position will prepare and provide support for basic financial reports. The position will collaborate with all departments on purchasing recurring and non-recurring supply orders.
DUTIES AND RESPONSIBILITIES
- Essential duties and functions may include the following. Other related duties may be assigned.
- Prepares and reviews payments cash receipts billing and other accounting transactions by verifying documentation and accurately completing transactions
- Perform the weekly payment runs and obtain the appropriate approvals
- Collect count log and deposit cash and checks received
- Follow all cash handling procedures
- Ensure cash deposits are entered accurately into current systems
- Researches and resolves billing invoicing financial inquiries and accounting discrepancies
- Reconciles accounts identifies and prepares corrections by collecting and analyzing account information and analyzing accounting options
- Processes travel documentation and monitors credit card activity
- Ensures that transactions and supplemental documentation is in compliance with policies procedures and internal controls
- Research and reconcile accounting transactions addressing discrepancies.
- Maintains information and reviews financial transactions by creating and/or monitoring electronic files and/or accounting documents
- Supports audit work papers for annual audit by accumulating data for assigned area(s) in a timely and accurate manner
- Assists in the development of guidelines procedures and templates for financial reporting
- Place weekly recurring orders with approved vendors
- Place non-recurring orders and obtain the appropriate manager approvals
- Distribute orders to the related departments as they arrive
- Maintain the Accounts Payable mailbox
- Request and maintain vendor W-9s
- Prepare and file 1099s and the related Form 1096
- Run various errands for APA! as needed (i.e. collect mail deliver deposits to the bank etc.)
- Work closely with the Philanthropy Development department to ensure that contributions and grants are aligned with APA!s donor-tracking
- Job duties may include some or all of the above and other duties as assigned by manager
OTHER FUNCTIONS:
- Attend and participate in all required training sessions and meetings
- Maintain open and consistent communication with Program Manager or designee supervisor and other colleagues
- Able to work in a high-volume fast-paced high-stress environment
- Able to react to change productively and perform other duties as assigned
REQUIRED QUALIFICATIONS:
- At least 1 year of experience in an office or accounting department setting
- Proficient in Microsoft Office G-Suite with advanced knowledge in Excel
- Demonstrated high level of detail orientation
- Excellent written and verbal communication skills with the ability to organize and plan
- Must be able to work independently and be a critical thinker
- Ability to work in a fast-paced dynamic environment
- Ability to prioritize workload to manage multiple tasks with strict deadlines
- Ability to work well with members in a team environment
- Must possess a valid drivers license
PREFERRED QUALIFICATIONS AND SKILLS:
- Basic knowledge of financial reporting concepts and preferred business practices
- At least 1 year of accounts payable experience preferred
- Some familiarity with basic accounting software and tools
- Some skill in analyzing and interpreting financial records
- Blackbaud Financial Edge experience is a plus
- Nonprofit bookkeeping/accounting experience is a plus
- Some experience with ShelterLuv or similar shelter software program

PHYSICAL JOB REQUIREMENTS:
- Must be able to work around animals (including diseased injured and/or potentially aggressive animals) loud noises chlorine or other chemicals and inclement weather
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to focus in a loud and busy environment despite distractions
- Must be able to walk around the shelter as needed - uneven ground keeping a safe distance from dogs and handlers

WORK ENVIRONMENT:
- Standard office environment with exposure to environmental conditions that include working with and near animals
- Uses own transportation to travel and transport
- Work is normally performed inside; some outside work is required
- Exposure to unpleasant odors and noises
- Rapid pace with exposure to potential hazards including animal waste disinfectants and high levels of noise
- Occasional after-hours or weekend work may be required to support program needs
WORKING RELATIONSHIPS:
This position reports directly to the Controller or another individual designated by APA!.
TIME COMMITMENT:
- This is a full-time exempt position with an average of 40 hours per week.
- Shift and schedule flexibility is required as weekly schedule is subject to change
- Able to work evenings weekends and holidays as needed
