Position Summary:
Roles and Responsibilities
- Serve as the first point of contact for visitors clients and internal staff.
- Manage incoming office calls emails mail and deliveries.
- Manage office vendor relationships
- Maintain and organize office supplies inventory and equipment.
- Schedule staff meetings appointments and organize office events or staff activities.
- Support onboarding of new employees including desk setup and documentation.
- Assist with travel arrangements expense reports and administrative tasks for leadership.
- Working with building management and vendors to ensure facilities are clean safe and fully functional.
- Maintain organized filing systems (both physical and digital).
- Organizing team meetings outings and various other functions
- Assist in preparation packing and shipping of materials
- High school diploma or equivalent required; associate or bachelors degree preferred.
- 2 years of experience in administrative or office coordination roles.
- Proficient in Microsoft Office Suite (Word Excel Outlook) and basic office technology.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to multitask and adapt in a fast-paced environment.
- Positive attitude and team-oriented mindset.
- Must be able to work in the corporate office from 9:00pm to 3:00pm.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to communicate and vision within normal rangeswith or without an assisted hearing device.
- No heavy lifting is expected though occasional exertion of up to 25 lbs. of force may be required.
- The job is primarily performed indoors in a traditional office setting. Extended periods of sitting and extensive work at a computer and phone are normal.
