The Senior Clerk performs specialized administrative and clerical work for the department of assignment. Work involves receiving and responding to non-routine situations and handling in accordance with procedures and guidelines established. This position is responsible for troubleshooting and evaluating current office procedures for efficient alternatives and coordinating office activities with other county offices departments and/or elected officials as necessary. This position is also responsible for considerable public contact in answering inquiries and providing information as well as processing a variety of complex paperwork.
Schedules meetings and appointments on behalf of office staff; prepares agendas and related memoranda to notify participants.
Performs research and compiles data for special projects or reports as assigned ensuring completion by specified deadlines and in accordance with outlined objectives and goals.
Creates and maintains files and records related to the department.
Prepares office correspondence on behalf of office staff; assumes responsibility for accuracy and professionalism.
Receives processes and distributes mail to appropriate department or employee.
Receives inquiries by phone and/or in person and responds in accordance with department policy and procedure; screens calls as necessary.
Maintains office supply inventories coordinating with each department supervisor and preparing the necessary paperwork.
Regular and punctual attendance is required.
Supervises deputy-level clerks providing clerical assistance on court days and during peak business times.
Provides executive assistance and support to the County Clerk; prioritizes incoming information and serves as a clearinghouse for correspondence.
Makes travel arrangements and coordinates all travel plans for elected officials and staff; completes all details relating to registration; coordinates with Auditors Office to ensure all payments are made in advance of conferences including all travel-related accommodations.
Assists the public with background searches as necessary; provides copies of legal documents from criminal case files.
Calculates and posts payments for fines and court costs; processes and tracks cash bonds and cash bond checks; refunds cash bond money after the resolution of criminal cases; maintains related spreadsheets to track payments.
Coordinates and educates the public on the initial steps of the local option elections.
Receives reviews and processes legal paperwork court motions and orders and expunction orders from multiple sources as necessary.
Balances assigned cash drawer as necessary; completes deposits as necessary.
Performs other related duties as required.
High School Diploma or GED and a minimum of two years of experience in a related field; or an equivalent combination of education and related experience required.
Completion of some college-level coursework preferred.
