Role Name: Client Management and Administrative Support Specialist
Schedule:
40 hours per week
Monday to Friday 9am - 6pm PST with 1 hour unpaid break (8 paid hours per day)
Client Timezone: PST

Review and monitor staff notes and service documentation for accuracy completeness and compliance.
Navigate and maintain up-to-date client records in Caretap and internal systems.
Assist with client scheduling intake paperwork and appointment reminders.
Organize digital files track deadlines and support billing preparation processes.
Follow up with staff and clients to obtain missing or incomplete documentation.
Verify patients insurance eligibility benefits and coverage details.
Coordinate prior authorizations and communicate with insurance providers.
Review and process healthcare insurance claims resolving discrepancies as needed.
Perform general administrative tasks including data entry filing and correspondence.
Manage and schedule patient appointments across multiple providers using scheduling software.
Send appointment reminders and handle rescheduling as required.
Provide support via phone email or chat for patient inquiries regarding services billing or appointments.
Address and escalate client concerns or complaints when necessary.
Proven experience in housing services social services or administrative roles within a healthcare setting.
Familiarity with Caretap or other case management/healthcare management platforms.
Strong written and verbal communication skills.
High attention to detail and strong organizational skills.
Ability to work independently while maintaining client confidentiality.
Knowledge of insurance verification processes and claims handling is a plus.
Proficiency in managing healthcare documentation and patient interactions.
Comfortable multitasking in a fast-paced client-facing environment.
