JOB DESCRIPTION: Elementary Administrative Assistant
POSITION SUMMARY:
- The Elementary Administrative Assistant is responsible for providing secretarial support for an elementary school and serving as the principals administrative assistant.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
The Elementary Administrative Assistant:
- Coordinates the processing and distribution of U.S. and interschool mail for the purpose of ensuring that information is received in a timely fashion. *
- Enters and updates student data in PowerSchool; generates reports as needed to comply with district requirements. *
- Maintains student records (e.g. cumulative files attendance logs) and forwards records to other schools as appropriate. *
- Manages office supply inventory to ensure materials are available as needed. *
- Monitors school budget accounts to help prevent overspending. *
- Performs general clerical duties (e.g. scheduling copying faxing filing) to support school operations and administration. *
- Completes student registration processes to ensure all forms are properly completed and required documentation is obtained. *
- Administers basic first aid dispenses medications and contacts parents the school nurse or emergency personnel as needed for student injuries or illnesses. *
- Prepares a variety of written materials (e.g. reports memos correspondence) for documentation and communication purposes. *
- Processes and distributes items received through the purchasing process to ensure proper tracking and delivery. *
- Submits and manages purchase orders in accordance with district purchasing guidelines. *
- Maintains financial records for activity accounts ensuring accurate receipts disbursements and budget compliance. *
- Responds to inquiries from staff parents students and outside agencies to provide information and facilitate communication. *
- Coordinates facility use by external groups to ensure availability and compliance with district policies. *
- Serves as the timekeeping liaison ensuring accurate collection of employee work hours and absences; assists employees with correct system use. *
- Follows the policies and procedures of the school and the District. *
- Demonstrates a sense of professional responsibility such as demonstrating ethical behavior; providing accurate data and reports when needed; meeting deadlines; maintaining confidentiality; caring for the equipment and materials; and dressing appropriately and presenting a good role model. *

SKILLS KNOWLEDGE AND ABILITIES REQUIRED:
- Ability to use effective communication skills; ability to use time effectively; good organizational skills; ability to maintain a positive relationship with other staff by collaborating and working cooperatively with them (including supervisors); ability to operate standard office equipment and software applications; ability to prepare and maintain accurate records; knowledge of business telephone etiquette; and ability to meet deadlines and schedules.
ENTRY QUALIFICATIONS:
Mandatory: Minimum of high school education or GED.
Preferred: 1 years of experience working in a school is preferred.
