Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team at Maldonado Nursery & Landscaping. The ideal candidate will provide essential administrative support to ensure the smooth and efficient operation of our office. You will be responsible for handling a variety of tasks to assist the management team coordinating office activities and providing exceptional customer service to our clients and vendors.

Key Responsibilities:

  • Assist with tracking budgets and branch performance metrics helping branch leadership meet goals
  • Help monitor billing invoicing and overall financial paperwork for accuracy and timeliness
  • Serve as the first point of contact for clients and vendors answering phone calls responding to emails and greeting visitors in a professional and friendly manner
  • Assist in preparing proposals contracts and other documents for clients
  • Coordinate and schedule appointments meetings and events for the team
  • Maintain and update customer and vendor databases with accurate and current information
  • Assist with payroll processing and timesheet management for field staff
  • Handle incoming and outgoing mail and deliveries
  • Prepare and distribute internal communications and reports as needed
  • Assist new hires in completing the employee onboarding process including completing paperwork orientation and training coordination
  • Perform other administrative tasks and special projects as assigned

Qualifications Required

-2 years of administrative assistant experience

-Must be bilingual in Spanish

-Strong proficiency with Microsoft Excel
