Though 9 in 10 Latino young adults say a college degree is important for success in life fewer than 15% age 25 or older hold a bachelors degree. Voices College-Bound Language Academies exists to change that.

Voices is a public charter school network with a mission to prepare all students for the challenges of higher education through the context of an academically rigorous dual-immersion program. Every student regardless of home language graduates bilingual and biliterate in English and Spanish.

Role Summary

The Credentialing Specialist at Voices Academies plays a key role in ensuring that all certificated and non-certificated staffincluding teachers administrators paraprofessionals and substitutesmeet the credentialing requirements set by the State of California and our authorizing agencies. Reporting to the Special Projects and Credentialing Manager this individual manages and executes a range of specialized duties related to credentialing including evaluating applicant eligibility monitoring and reporting on credential status and supporting both permanent and temporary staff across the network. The Credentialing Specialist serves as a subject matter expert provides training and guidance to HR and Talent team members and may supervise credentialing associates as the department grows. This position requires fluency in English and Spanish proficiency with credentialing systems such as PowerSchool Helios and Paycom and the ability to maintain confidentiality and accuracy in a fast-paced mission-driven environment.

Key Responsibilities

Credentialing Planning and Reporting:

  • Serve as content expert on teaching credentials for Voices Academies engaging HR talent compliance and Voices leadership to ensure 100% credentialing compliance across the network
  • Develop and implement strategic policies and procedures to promote credentialing compliance
  • Actively identify issues and proactively implement systems to reduce credentialing noncompliance
  • Evaluate employment transcripts education units credentials and other records to assess certificated applicants eligibility and placement;
  • Review execute and monitor the conversion process for out-of-state credentials
  • Manage credentialing processes for all certificated and non-certificated staff including substitutes and temporary employees.
  • Manage the renewal process for credentialed employees including drafting and delivering relevant communications to employees receiving employee credential documentation reviewing and assessing the validity of the documentation and creating and updating employee credential records during one-on-one credential planning.
  • Stay current on existing California and charter school credentialing requirements and also remain informed about any legislative changes.
  • Willing to train other credentialing staff as needed.
  • Train relevant Talent staff to screen and verify teacher administrative and other credentials during routine hiring and position change processes.
  • Provide updated communications and/or training regarding changes in credential requirements in California to HR and Talent staff as needed.
  • Effectively manage the use of credentialing and HRIS platforms including PowerSchool Helios and Paycom.
  • Maintain relationships with teachers principals and relevant staff to prevent and proactively resolve credentialing issues;
  • Disseminate accurate and timely information regarding credential requirements to key constituencies including but not limited to teachers staff and principals.
  • Manage and monitor credential issuance documentation and clearance activities for Voices teachers making recommendations and providing support to minimize non-compliance with credentialing requirements.
  • Maintain and audit the employee credentialing database to ensure records are accurate current and compliant with state and organizational requirements. Monitor expirations coordinate renewals and generate reports to support compliance and internal audits.
  • Provide resources and support to teachers and other credentialed staff engaged in the credential renewal process
  • Maintain a variety of confidential and non-confidential manual and electronic documents files and records related to credentialing for the purpose of providing up-to-date reference materials and audit trail in compliance with all Voices and state regulations; provide credentialing and related data and prepare reports to comply with all other auditing and authorizing entities
  • Support the Talent team in recommendations for teacher and certificated staff placement; manage and execute the temporary credential request process and track temporary credentials for substitutes
  • Travel between campuses and to work-related events as needed.
  • Perform related duties as assigned

Qualifications

Voices Academies Credentialing Specialist candidates will have the following:

Minimum Qualifications

  • Demonstrate excellent written and oral communication skills in English and Spanish
  • An Associates Degree (AA) and 2 years of recent human resource and/or administration experience
  • Bachelors degree preferred

Training Education and Experience:

  • General knowledge of various employment laws and practices within the scope of duties
  • Experience working with credentialing in a public education setting is strongly preferred.

Knowledge and Abilities

Knowledge of:

  • State of California requirements and laws pertaining to teaching credentials
  • Federal credential requirements and laws
  • Laws rules and regulations involved in processing certified personnel
  • Methods and processes of statistical analysis and data reporting
  • Recordkeeping techniques
  • Public education social justice efficacy and equity

Ability to:

  • Maintain the highly confidential nature of human resources work
  • Develop and implement creative solutions for areas of responsibility
  • Work with sensitivity with confidential information continuously
  • Proficiently use MS Office including Microsoft Excel PowerPoint Word and Google Suite HRIS
  • Demonstrated successful experience working with traditionally underserved students and families
  • Demonstrate passion for the mission vision and values of Voices Academies with a deep commitment to improving the lives of students from low-income communities
  • Work well in a fast-paced environment
  • Work well independently and with a team as well as in an ambiguous environment
  • Telephone email and face-to-face etiquette

Working Conditions

Environment:

Office environment: fast-paced work constant interruptions and willingness to be trained as needed

Physical requirements:

Regular requirement to stand sit walk talk hear see read speak reach stretch with hands and arms stoop kneel and crouch. Lift and carry objects weighing up to 50 lbs and occasional travel.

Prior to Employment: Must meet the following criteria to receive an offer of employment:

  • CPR/First Aid/AED Certification
  • Valid TB Clearance and a Clear Criminal Background Check

Key Compensation:

Annual Salary Range: $74000-$82000
