Job Description

The College of Liberal Arts and Sciences (CLAS) Advising Network is searching for an Administrative Services Coordinator.

This position will serve as the first point of contact and support for the CLAS Advising Network office. This position performs essential administrative duties to support the directors academic advising staff and advising services that contribute to student retention and success. This position will also oversee and manage CLAS Undergraduate Program (CLAS UP) departmental and off-cycle scholarships.



Key Responsibilities:

  • First point of contact for all student inquiries related to advising and recruitment. Support the daily operations of the CLAS Advising Network office including front desk operations.
  • Manage CLAS Advising email and coordinate responses.
  • Manage calendars and assist with scheduling for CLAS Advisors.
  • Schedule and attend regular CLAS Advising Network (AN) meetings; including creating and distributing agendas inviting guests and taking and distributing notes.
  • Provides introductory training to Academic Advisors on MAUI and SWIPE systems and processes used throughout the CLAS Undergraduate Programs office.
  • Oversee and manage Departmental and Off-Cycle scholarship budget in coordination and collaboration with other CLAS staff (i.e. staff in 240 SH CLAS Finance Team and UICA).
  • Process CLAS Undergraduate Scholarships.
  • Collaborates with the Directors of Advising to gather and analyze data and prepare periodic reports for special projects.
  • Manages and reviews CLAS Advising and CLAS Scholarship websites.
  • Manages CLAS scholarships including promotion applicant communications award processing and responding to inquiries.

Education Required:

  • A Bachelors degree in a Liberal Arts discipline or an equivalent combination of education and experience.

Required Qualifications:

  • Minimum of 6 month to a year in office administration: Demonstrates working knowledge and ability to conduct office administration tasks effectively and efficiently in support of staff team and department.
  • Working knowledge and experience with desktop tools including MS Outlook Excel and Word. Microsoft computer software applications.
  • Demonstrates working ability to manage multiple concurrent objectives projects groups or activities making effective judgments as to prioritizing and time allocation. Demonstrates high attention to detail and high level of discretion.
  • Demonstrate extensive knowledge and application of oral and written communication and relationship building skills.
  • Demonstrated ability to communicate clearly and collaborate effectively with individuals from a variety of personal and professional backgrounds fostering a welcoming and respectful work environment.



Desired Qualifications:

  • Working understanding of University policies and procedures particularly as it relates to students is highly desirable.
  • Administrative experience in higher education office setting is highly desirable.
  • Working experience with MAUI and experience with electronic processing systems such as Workflow.
