Paramatta - Onsite - Full Time - Associate

  • Work collaboratively across the office to support all areas managed by the Office Services team
  • Support Facilities and Tenancy management

About the Role

Our Workplaces team is expanding and were looking for a Workplaces Associate to join our vast community of solvers. The Workplaces team brings our purpose to life by ensuring the Parramatta office is safe clean and comfortable and our people feel supported from a Facilities perspective.

Youll help solve complex problems by using your skills in:

In our Workplaces team your impact will be seen by:

  • Practicing customer service via phone walk-ins and email
  • Receiving and greet guests staff and contractors following PwC protocols for guest arrival and escort
  • Registering guest and visiting staff through Cloudbooking or iPad registration for temporary security passes
  • Providing meeting room assistance to staff and clients and guidance on suitable spaces and possible options
  • Actively managing Cloudbooking live online room booking and management system
  • Responding quickly and accurately to booking requests including liaising with internal and external stakeholders to ensure all requirements are in place
  • Communicating efficiently and effectively with all stakeholders to ensure a co-ordinated and seamless service is provided
  • Setting up and cleaning up Meeting rooms between every meeting; arrange moveable walls as required; set up and pack down multifunction space including AV as required
  • Serving tea/coffee for meetings stacking crockery/utensils in dishwasher and clearing dishwasher tidying kitchen and plaza organising external caterers as required
  • Building effective relationships with internal line of service clients by understanding their needs and being responsive and adaptive as their needs change
  • Ordering plaza amenities weekly in line with staff trends and budget
  • Processing incoming and outgoing mail and couriers
  • Managing of unclaimed mail and mail files
  • Lodging and updating courier tickets in Service Now
  • Organising overnight internal mail to other PwC sites nationally
  • Scheduling collection of Local Interstate and International Couriers
  • Assisting with work arising from Repairs and Maintenance requests including escorting contractors and filing service reports
  • Tidying and maintaining staff Plaza Technodes (stationery areas) and meeting rooms including collecting Lost Property
  • Checking stock levels for stationery kitchen supplies (cutlery crockery etc) and consumables and order and restock as required
  • Assisting with new starter and staff termination processes for security access and locker allocations
  • Organising office tours for all new starters and guests as requested
  • Raising and receipt purchase orders and process invoices through Basware finance software
  • Doing facilities related project work as directed by Office Services Manager
  • Completing assigned monthly Compliance items
  • Monitoring office floors to ensure workspaces and common areas are clear tidy functional and comply with WH&S regulations
  • Maintaining Emergency Warden and First Aid Register
  • Coordinating training for emergency wardens and first aiders
  • Doing site contact for annual flu vaccination program and other wellbeing initiatives
  • Being the Office Services representative in Parramatta Employee Networks committee Parramatta representative in National Employee Networks (of own choosing)
  • Providing support to the team during leave
  • Doing other administrative duties as directed and when required
  • Seeking regular feedback to ensure services are being delivered to meet client needs and support year end performance review
  • Participating in national projects by contributing ideas knowledge skills and experience
