Position SummaryWere looking for a highly organized creative and detail-oriented Event Planner to conceptualize plan and execute a variety of impactful events for Powers Catholic High School. This role is crucial in bringing our schools vision and community spirit to life through well-managed and memorable gatherings supporting our mission and fostering strong relationships within our school community and beyond. The Event Planner will manage events from initial concept through post-event evaluation ensuring seamless execution adherence to budget and exceptional attendee experiences. Key Responsibilities Event Planning & Coordination- Conceptualize and develop event themes concepts and detailed plans in alignment with event goals and school objectives (e.g. student activities alumni gatherings parent engagement school-wide celebrations community outreach and fundraising events).
- Create and manage comprehensive event timelines and checklists to ensure all tasks are completed efficiently and on schedule.
- Manage event budgets tracking all expenses negotiating contracts with vendors and identifying cost-saving opportunities without compromising quality.
- Research select and book appropriate venues (both on and off-campus) considering capacity facilities accessibility and alignment with event needs.
- Source negotiate with and coordinate a wide range of vendors including caterers audio-visual technicians decorators photographers entertainers and transportation providers.
- Oversee all logistical arrangements including room setup seating plans equipment rental signage parking and on-site event flow.
- Manage guest lists invitations RSVPs and registration processes as needed for various events.
Event Execution & On-Site Management- Oversee all on-site event preparations production and breakdown ensuring smooth transitions and addressing any issues proactively.
- Serve as the primary point of contact for vendors staff volunteers and attendees on event day troubleshooting unforeseen issues calmly and efficiently.
- Recruit train and manage event staff and volunteers to ensure clear roles and responsibilities and seamless event execution.
- Ensure compliance with all relevant legal insurance health and safety regulations for each event.
Communication & Collaboration- Communicate effectively with internal stakeholders (administration faculty staff and students) to understand event needs and keep them informed of progress.
- Collaborate with the Marketing and Communications team to develop promotional materials (e.g. flyers social media posts website content email campaigns) to ensure effective event outreach.
- Gather feedback from attendees stakeholders and vendors post-event to assess success identify areas for improvement and generate comprehensive event reports.
- Maintain a strong network of industry contacts vendors and venues to leverage for future events.
Required Skills and Experience- 2-4 years of proven experience in event planning or coordination preferably within an educational non-profit or hospitality setting.
- Demonstrated success in planning and executing a variety of events (e.g. small gatherings large school functions community events).
- Exceptional organizational and time-management skills with a strong ability to multitask prioritize and meet tight deadlines.
- Strong budget management and negotiation skills.
- Excellent written and verbal communication skills with the ability to clearly articulate plans and effectively engage with diverse groups.
- Problem-solving aptitude with the ability to think on your feet adapt to unforeseen challenges and find creative solutions under pressure.
- High level of creativity in conceptualizing engaging and unique event experiences.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and familiarity with event management software or CRM tools (e.g. Blackbaud Cvent Eventbrite) is a plus.

Physical DemandsWhile performing the duties of this position you will regularly walk stand sit stoop squat reach talk hear read write use a computer and carry items weighing up to 40 pounds. The role will require active participation in event setup and breakdown. You will also interact closely with coworkers students parents and community members during events. Environmental ConditionsMust adapt to various environments. While much work is indoors you will frequently work outdoors or at off-campus venues for event activities.
