Job Description

We are currently seeking:

Materials Manager

Under the supervision of the Facility Administrator this person is responsible for maintaining the supplies equipment and all materials for the daily operation of the surgery center. Supervises the maintenance of accurate records associated with the ordering receiving and processing for payment all requisitions and purchase orders. Maintains the automated systems to support the materials management functions. Coordinates physical inventory and completes the mandatory reporting bi-annually at the facility. Monitors savings opportunities coordinates product evaluations maintains savings logs performs cost analysis and works closely with physicians in product evaluations. Oversee all of the activities to assure the availability of necessary instruments.

Qualifications Knowledge & Ability:

  • Demonstrates eligibility for employment in the U.S.
  • Ability to relate and work effectively with others
  • Demonstrated skills in verbal and written English communications for safe and effective use of chemicals cleaning agents and safety instructions.
  • Willingness to participate in goal-setting and educational activities for own growth and advancement.
  • A minimum of three years of healthcare experience.
  • Is aware of material management supply management and financial considerations in a work environment.

Duties and Responsibilities

PEOPLE:

  • Facilitates the development of appropriate working relationships with the clinical staff vendors physicians and other departmental leaders.
  • Demonstrates effective communication skills with staff management and physicians. Communication through verbal and written methods to update staff daily on backorders and equipment issues.
  • Demonstrates skills as a team player. As a leader shows appropriate accountability for material management and central processing.
  • Effectively accesses NSH Service area resources and implements recommendations.
  • Demonstrates ability to solve problems timely and constructively.
  • Demonstrates a complete knowledge of vendors variable supply sources and uses vendors to gain the best prices and most efficient method of supply delivery.
  • Participates in staff meetings for department and facility at regular intervals for informative and educational purposes to build appropriate communication and effective team environment.
  • Facilities and coordinates as necessary in-services for new products and assists with orientation of new employees as directed
  • Delegates coordination of department needs when out of the department.
  • Maintains professional business attire and exhibits leadership skills that will assist the team in developing and maturing.
  • Maintains confidentiality in regards to pricing and contract documentation. These responsibilities are evaluated by measuring the following:
  • Employee turnover rate
  • Attendance at departmental and facility staff meetings
  • Completion of HealthStream Education
  • Attendance/Tardiness
  • Fosters an attitude of teamwork

SERVICE

  • Establishes and maintains exceptional services to all customers including physicians patients and employees with the goal of delighting all customers.
  • Participates in service recovery by taking ownership of the situation and correcting problems. Strives to promote customer satisfaction and follows through with the situation to correct the problem. Keeps customers informed of progress related to materials instruments and equipment.
  • Develops and maintains a culture of service in department connecting organizational values to actions. Sets example for team members by participating in service initiatives and encourages others to do so as well.
  • Models appropriate interaction with physicians patients and staff to ensure high level of service in all areas of responsibility.
  • Participates in NSH initiatives for cost savings measures and represents the facility as appropriate. These responsibilities are evaluated by measuring the following:
  • Patient Satisfaction
  • Physician Satisfaction
  • Key phrases for positive customer relations
  • Rounding for outcomes in all areas where inventory/supplies or implants are stocked
  • Timely and through reporting of backorders and equipment issues
  • Participates in Material Management conference calls as requested

QUALITY

  • Executes day-to-day management and leadership responsibilities assuring safe and effective clinical operations related to sufficient supplies sterile instruments and working equipment in the clinical areas.
  • Assures that systems are in place to comply with State Federal and accrediting body. Including but not limited to: Maintaining accurate maintenance service and recall binders.
  • Assures all supplies are stocked in an organized manner on a daily basis to protect the integrity of the supplies.
  • Assures medical gases biohazard waste and chemicals are used stored and maintained in a safe manner according to manufactures recommendations and reports any hazardous conditions immediately.
  • Assures employee safety through maintaining the MSDS binders and overseeing safety checks on the blanket warmers and sterilizers.
  • Assures that all records are maintained accurately including matching packing slips with invoices updating pricing in Advantx and supplies are received in Advantx.
  • Assures all new supplies are entered into Advantx accurately and in a timely fashion.
  • These responsibilities are evaluated by measuring the following:
  • Maintenance of Medicare Certification and State Licensure
  • Participation in Quality Assessment Performance Improvement activities
  • Complies with facility Code of Conduct departmental policies procedures and regulations
  • MSDS Maintenance Service and Recall Binders are up to date and compliant.
  • Stock room is organized and integrity of supplies is maintained
  • Supply levels are maintained appropriately for current cases and days in inventory are less than 45.
  • Invoices are matched with packing slips and supplies are received
  • Vendor contract summary and capital summary are maintained and current

FINANCE

  • Maintains clinical supply cost within budget and within acceptable benchmarks.
  • Coordinates and conducts semi-annual physical inventory and completes all reporting documentation.
  • Assists with acquiring and negotiating new service and maintenance contracts.
  • Implements action plans to reduce cost of supplies and performing cost analysis as requested.
  • Assigns appropriate general ledger code to all invoices and remit to accounts payable in a timely manner.
  • Reviews invoices and products to determine opportunity for cost savings measures.
  • EBITDA Budget Met
  • These responsibilities are evaluated by measuring the following:
  • Operating Margin Initiative - Supply Cost/Case
  • Expense Reduction Initiative - Cost per case is within Budget
  • Purchase Orders are processed within 24 hours
  • Completes physical inventory semiannually and provides accurate documentation within timetable

GROWTH

  • Assists Patient Care Manager and Administrator with marketing and establishing new service lines.
  • Participates in regular and effective planning meetings with the facility leadership as requested.
  • Participates in setting yearly goals for the clinical departments and self creates strategies and establishes time frames to accomplish goals.
  • Assists the Administrator with a clinical internal marketing initiative to ensure excellence in service and growth These responsibilities are evaluated by measuring the following:
  • Meets or Exceeds Facility Budgeted Volume
  • Assistance in developing new service lines
  • Assistance in negotiations of equipment purchases
