Secretary to the Office of Recipient Rights and completes executive support tasks that are highly confidential and sensitive including HR processes and timekeeping. Reads and screens incoming calls and correspondence and reports; makes preliminary assessments of importance; handles general requests or referrals and forwards more complex inquiries to the Director or other managers for assignment or response. Assists with establishment revisions and maintenance of policies and procedures and maintains filing and record management systems Customer Relation Management (CRM). Maintains and trains ORR staff relative to the integrity of data entry into the CRM aggregate and analyze data from CRM and develop reports as requested. Creates and produces a variety of documents and reports utilizing various tools such as power point excel Siebel CRM etc. Makes travel arrangements; prepares compiles and maintains travel vouchers. Recommend action to be taken on Office expenditures such as equipment and supply needs. Cross trains with administrative staff in the Education Training and Compliance Unit to ensure all ORR tasks can be completed in a timely manner.

Required Education and Experience

Education
Educational level typically acquired through completion of high school.

Experience
Five years of office experience involving administrative support practices including two years equivalent to advanced (8) level administrative support work Secretary E8 or Legal Secretary E8; or one year equivalent to a Secretary 9 Legal Secretary 9 or Senior Executive Management Assistant 9.

Additional Requirements and Information

Employees will be provided computers to perform state work. Phones may also be provided for necessary communications. If working remotely employees will be responsible for providing other components of a remote office at their own expense including:
  • A secure work location that allows privacy and prevents distractions.
  • A high-speed internet connection of at least 25 Mbps download and 5 Mbps upload.
  • Suitable lighting furniture and utilities.
