We are currently seeking a talented and experienced Administrative Assistant to join our team of professionals. JOB REQUIREMENTS:
  • Provides administrative support to principals associates and subordinate staff and applies thorough knowledge of CGA a SAFEbuilt Company policies and practices.
  • Works independently receiving minimum detailed supervision and guidance.
  • Handles situations problems and deviations according to the supervisors general instructions priorities duties policies and program goals.
  • Provide relief for the receptionist on a backup basis during breaks and lunch.
  • Screens telephone calls visitors and incoming correspondence.
  • Point of contact in managing calendars for Principal/Associates coordinating meetings as necessary with all involved parties.
  • Coordinate internal and external meetings conferences and presentations. Assuring necessary information is available to all involved parties in advance contacting outside parties booking a conference room coordinating refreshments providing coffee or beverages for outside clients and ensuring the conference room is clean for the next meeting.
  • Serves as point of contact for information from and to subordinate organizations screening items appropriately and directing relevant items to appropriate personnel.
  • Distributing copies of executed proposals.
  • Maintains efficient workflow by communicating and following through on all assignments.
  • Maintains efficient workflow by coordinating associate scheduling and sharing necessary administrative and procedural information with other unit administrative assistants and department personnelsupport ordering department books subscriptions Sunpass department forms etc.
  • Distribute new proposals to clients via copy fax or mail and distribute all executed proposals which the client has signed to all appropriate parties.
  • Handles incoming mail; prioritizes items; handles selected items independently thorough knowledge of all CGA correspondence standards. Assist subordinate department with format questions.
  • Answers telephone providing callers with requested information regarding the appropriate source(s) researching requests and responding independently or involving supervisor as necessary.
  • Preparation of general correspondence (memos reports proposals agendas etc.) from typewritten and handwritten data.
  • Developing familiarity with some of the advanced features of company software to complete more complex tasks (charts tables merge documents etc.) Proofreading documents for content spelling correct grammar punctuation etc. for the subordinate department.
  • Ensuring department petty cash is current and balanced on an as-needed basis.
  • Create/maintain project files in the companys main filing system for the respective department.
  • Performing occasional department errands i.e. filing documents with local government agencies or clients.
  • Assist other department administrative assistants with their workload during downtime.
  • Will be required to perform other duties as requested directed or assigned.
SKILLS/KNOWLEDGE:
  • Knowledge of various computer software applications in word processing spreadsheets databases and presentation software (MS Word Excel Access PowerPoint).
  • Ability to work with all levels of management; strong verbal and written communication skills.
  • Ability to establish priorities work independently in a rapidly changing environment and be a group leader.
  • Ability to handle sensitive and confidential situations. The position continually requires demonstrated poise tact and diplomacy.
  • Ability to interact and communicate with individuals at all levels of the organization.
  • Ability to express ideas effectively orally and in writing.
  • Ability to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.
EDUCATION/EXPERIENCE:
High school diploma or equivalent; three (3) to five (5) years of experience or training; or equivalent combination of education and experience.
