Job Description

DeVoe Automotive Group is looking for a Full Time Assistant Office Manager.

Join our team at DeVoe Automotive where integrity longevity and a family-first culture drive everything we do. Were seeking a detail-oriented and dependable Assistant Office Manager with proven experience in the automotive industry. The ideal candidate will bring at least 3 years of experience as an Assistant Office Manager or senior-level accounting clerk along with strong organizational skills and a proactive approach to supporting day-to-day dealership operations. Salary is commensurate with experience.

Responsibilities

  • Prepare and post journal entries accurately and in a timely manner.

  • Maintain and reconcile assigned accounting schedules; review schedules regularly to ensure accuracy and provide oversight and support to office staff.

  • Reconcile balance sheet accounts to ensure consistency and financial integrity.

  • Calculate commissions and process monthly payroll for multiple departments adhering to various pay structures and compensation plans.

  • Assist in the preparation of monthly factory financial statements in compliance with OEM and corporate guidelines.

  • Ensure timely and accurate filing of regulatory returns including solid waste and tire fee submissions.

  • Support daily office operations and collaborate with management to uphold internal controls and best accounting practices.

Job Requirements

  • Minimum of 35 years of recent experience in upper-level automotive accounting ideally as an Assistant Office Manager or Senior Accounting Clerk.

  • Experience with Reynolds Ignite DMS is preferred; familiarity with other dealership management systems is a plus.

  • Proficient in Microsoft Office particularly Excel with the ability to create edit and manage complex spreadsheets used for various accounting and operational functions.

  • Strong understanding of automotive manufacturer accounting procedures and dealership office operations.

  • Demonstrated commitment to following established policies procedures and internal controls.

  • Excellent motivational coaching and communication skills with the ability to lead and support office staff.

  • Superior organizational skills and a strong attention to detail; able to complete tasks accurately and on time.

  • Quick learner with the ability to adapt to new systems software and processes efficiently.

  • Self-motivated with a positive enthusiastic attitude and a team-oriented mindset.

  • Professional appearance and strong work ethic.

  • Stable and consistent work history.

  • Valid drivers license required.

  • High school diploma or GED equivalent required; post-secondary education in accounting or business is a plus.

  • Must successfully complete a pre-employment background check and drug screening.
