Purpose of Role:

The Facilities Manager plays a central role in maintaining and enhancing the schools infrastructure and physical operations. The post holder ensures full compliance with legal health & safety and safeguarding requirements while delivering smooth efficient and high-performing facilities operations. This is a hands-on visible leadership role that combines strategic planning with operational delivery.
This role is essential to maintaining our reputation as the school of choice in our community. Through collaborative leadership and operational excellence the Facilities Manager works closely with the School Leadership Team (SLT) ISPs Regional Property Team and external vendors to ensure a high standard of maintenance safety sustainability and responsiveness across the entire campus.

Key Responsibilities
1. Health Safety and Regulatory Compliance
The Facilities Manager is accountable for ensuring full and ongoing compliance with all local regional or national regulations.
Maintain and regularly update the schools property data room.
Personally coordinate with the regional team for compliance inspections documentation and validations.
Ensure facilities are inspection-ready at all times and carry out proactive readiness checks.
Document and flag any non-compliance issues immediately.
Ensure adherence to ISP/school policies technical manuals MoE/ISP H&S audits.
Identify and communicate any safeguarding or H&S risks and lead required actions.
Meet weekly with the Schools H&S Coordinator to review all compliance activities.
Execute all H&S duties delegated by the HSC or SLT and ensure follow-up is timely and documented.
Ensure facilities risk assessments are completed documented and acted upon.
Support H&S audits and verify that all required compliance reports are submitted before any subcontractor payments.
Follow ISP procurement policy and raise LPOs as required.
Oversee compliance for all school-organized events including H&S welfare and crowd safety planning.
Also ensure the correct supporting documentation compliance reports are received before authorising payments to subcontractors and uploaded to Quionia (our CMMS).
2. Budget Management & Financial Planning
Lead development and submission of the Five Year Development Plan (5YPD) in collaboration with the SSLT.
Directly manage the preparation of small-item Capex budgets.
Deliver major Capex projects in collaboration with the regional team.
Work with the Head of Finance to plan and track Opex and Capex budgets and forecasts.
Monitor monthly expenditures anticipate variances and take preventative action.
Propose and document annual cost-saving initiatives.
Ensure accurate property-related budget allocation across licenses payroll and contracted services.
Develop annual budgets based on maintenance security cleaning pest control and related services.
Establish annual expense reduction targets (e.g. 2%) through improved maintenance and procurement.
Manage the Building Management System (BMS) software if applicable.
3. Facilities & Maintenance Operations
Actively manage the Building Information Management (BIM) tool.
Supervise in-house and contracted maintenance and cleaning teams.
Hold outsourced vendors accountable to SLAs.
Monitor and sign off contractor performance (pool security catering waste etc.).
Review timesheets and assess financial exposure monthly.
Ensure all maintenance tasks are timely and documented.
Conduct annual building walkthrough with Head of School and document action plan.
Maintain balance between reactive and preventative maintenance.
Ensure facilities meet standards defined by SSLT.
Maintain an accurate register of property and equipment.
Implement asset tagging and replacement cycles.
Lead coordination and setup of all school venues for events ensuring spaces furniture AV utilities and safety checks are fully prepared in collaboration with SLT and relevant teams. Personally oversee readiness
Act as main facilities point of contact during events and ensure availability for last-minute support.
Ensure that all information including daily and monthly pool records is promptly entered into the designated application (SILOE Autocontrol).
4. Cleaning Hygiene & Environmental Services
Ensure all cleaning tasks follow clear weekly schedules.
Maintain written SOPs for all areas of school cleaning.
Oversee water testing pest control waste disposal and hygiene in accordance with regulations.
Supervise cleaning teams and carry out periodic quality checks.
Establish and track KPIs and report monthly to SSLT and the regional team.
5. Security & Emergency Preparedness
Lead implementation and monitoring of school security protocols.
Ensure comprehensive security coverage (access CCTV traffic flow etc.).
Develop and coordinate fire lockdown and disaster drills.
Provide written emergency response protocols and maintain documentation of crisis protocols.
Train staff and lead emergency drills.
Conduct regular internal/external threat risk assessments as well as in response to urgent facilities tickets raised.
Lead logistics for school events including security venue setup and technical setup .
6. Sustainability & Energy Efficiency
Promote and report sustainability initiatives with student involvement.
Foster a culture of service and responsiveness in the facilities department.
Drive initiatives to reduce CO2 footprint and energy usage.
Maintain documentation of improvements and outcomes.
7. Leadership Team & Stakeholder Management
Provide coaching performance feedback and mentoring to facilities and maintenance staff.
Set performance targets conduct regular team reviews.
Maintain a culture of service and clear documented communication.
Ensure that verbal instructions are consistently followed up in writing.
Regularly communicate facilities plans and improvements to senior leadership.
Ensure that school operations and learning are not compromised by poor planning or delegation.
Attend weekend school events only when directed by the SLT
8. Strategic Planning & School Development
Act as primary liaison for the Operations Team and all third-party FM vendors.
Understand and respond to all aspects of the schools MEP infrastructure.
Oversee all facility-related service level agreements.
Identify procurement initiatives and liaise with the regional team.
Coordinate with HR and SLT to ensure staff accommodation needs are met.
Support school-wide initiatives by providing operational guidance and promoting alignment with H&S and sustainability standards.
9. Operational Contingency & Other Duties
Personally manage or escalate any operational contingency.
Ensure Facilities staff embody best and safe work practices.
Ensure administrative processes are organized and professional.
Attend and contribute to weekly operational meetings.
Perform other tasks as reasonably assigned.
Working Times & Availability
This is a full-time position with a 40-hour work week. The post holders standard working hours will be from 08:30 to 17:00 Monday to Friday with half an hour lunch break.
Evening Responsibilities:
Required to conduct periodic evening monitoring including on-site stop-in visits to supervise the facilities team and check building conditions.
Weekend & After-Hours Availability:
Due to the irregular distribution of working hours the Facilities Manager is expected to be available to attend school from time to time during weekends or outside regular hours when directed by the School Leadership Team particularly for events emergency tasks or planned works. In such cases compensatory time off will be granted at a reasonable time as agreed with their direct supervisor.
Skills Qualifications and Experience
Bachelors degree technical background
Training or Masters degree in Facilities Management is a plus
Senior technician in maintenance of thermal installations would be highly valued
Years of experience: Minimum of 2 years in Facilities Management
Desirable experience: 5 yearsSpeak clearly concisely and effectively; listen to and understand information and ideas as presented verbally
Communicate information and ideas clearly and concisely in writing; read and understand information presented in writing
Work with or contribute to a work group or team to complete assigned task(s)
Plan organise and prioritise time and workload to accomplish tasks and meet deadlines
Deal with people in a manner which shows sensitivity respect tact and professionalism and avoid any conflicts of interest.
Ensure compliance with FM contract terms (Service Level Agreement) policies and procedures etc.
Decide or solve a problem by using logic to identify key facts explore alternatives and propose quality solutions
Supervise others by assigning/directing work conducting contractors evaluations and take appropriate corrective actions/make recommendations etc.
