Description

Position Summary
The Manager of Strategic Events and Alumni Engagement supports the Director of Strategic Events and Alumni Engagement in executing high-impact events and alumni programs that enhance Asbury Theological Seminarys mission strengthen alumni relationships and support institutional advancement efforts. This role manages event logistics coordinates cross- departmental planning and fosters alumni engagement through meaningful experiences that contribute to long-term philanthropic and missional goals. This position emphasizes event execution alumni program support and operational coordination while contributing to the broader strategic vision designed by the Director.

Essential Functions

  1. Event Management & Operational Planning
    • Coordinate the logistical execution of strategic events including the Presidents Retreat dedications donor gatherings and institutional celebrations.
    • Manage event timelines registration systems vendor communications venue arrangements and hospitality to ensure excellence in all event experiences.
    • Collaborate with departments across the Seminary to ensure efficient event planning and alignment with institutional priorities.
    • Maintain detailed event records post-event evaluations and reporting metrics to support ROI analysis and strategic improvement.
  2. Alumni Engagement & Program Support
    • Support the implementation of alumni engagement initiatives in alignment with the Asbury for Life philosophy and the strategic plan developed by the Director.
    • Assist in the coordination of Alumni Council meetings alumni coaching cohorts Golden Grad weekend and regional alumni gatherings.
    • Manage communication workflows for alumni event invitations follow-ups and engagement surveys in collaboration with the Communications team.
    • Track alumni participation data and provide reporting to inform development and stewardship strategies.
  3. Communications & Relationship Building
    • Serve as a point of contact for alumni and event participants providing excellent customer service and fostering a culture of hospitality and care.
    • Coordinate alumni and event-related content with internal teams to support branding outreach and storytelling efforts.
    • Build relationships with volunteers alumni ambassadors and event partners to ensure strong representation and collaboration across programs.
  4. Administrative & Budgetary Support
    • Assist the Director in maintaining budget records tracking expenditures and preparing financial reconciliations for events.
    • Oversee vendor contracts speaker agreements and procurement processes for event-related goods and services.
    • Ensure timely payments documentation and compliance with Seminary policies.

Qualifications

  • Comfortable working in a fast-paced deadline-driven environment
  • Demonstrated commitment to Christian values and institutional mission

Education & Experience

  • Bachelors degree required; Masters degree preferred
  • 35 years of relevant experience in event planning alumni relations or advancement
  • Proficiency in event software (e.g. Eventbrite Raisers Edge or similar CRM)
  • Experience working in higher education or nonprofit settings preferred

Working Conditions

  • Occasional evening and weekend responsibilities required during events.
  • Some travel may be required to support off-campus alumni or donor events.
