Job Description

Position Objective

The Enrollment Support Associate supports Clover Park Technical Colleges mission of Educating Tomorrows Workforce by providing exceptional customer service to students employees and the public. This position serves as a first point of contactanswering the colleges main phone line assisting visitors in the Advising & Counseling office and delivering accurate information and general guidance. The Enrollment Support Associate assists with enrollment-related processes such as registering students modifying class schedules reviewing transcripts and placement measures and responding to inquiries through phone email in-person and other approved channels. This role plays a key part in campus engagement and ensuring accurate records processing in alignment with college policies procedures and ctcLink systems.

Duties and Tasks (Essential Functions)

Duty: Provide comprehensive admissions enrollment and engagement services support across multiple platforms and settings.
Tasks include: but not limited to


  • Student and Campus Engagement to deliver high-quality customer service aligned with CPTC C.A.R.E.S. provide accurate information about academic programs student support services and campus resources and participating in training outreach and college-wide events.
  • Student Records Conversion & Maintenance by accurately converting Legacy student records into ctcLink using transfer credit processes creating program/plan stacks awarding credentials and collaborating with instructional divisions and communicating progress to students.
  • Registration assistance by supporting students with online and in-person admissions applications registration and troubleshooting system issues (e.g. holds errors) both individually and in group settings during registration labs group registrations and at other campus locations.
  • Admissions and processing by reviewing and processing applications changes transcript requests verifications and credentials evaluations to ensure data accuracy in ctcLink support the drop for non-payment process and assist with front-desk coverage as needed.
  • Compliance and knowledge maintenance by keeping up-to-date with college policies program requirements student support services FERPA regulations and state/federal guidelines to ensure accurate and compliant.
  • Projects and/or tasks assigned by the supervisor.
  • Participate and assist in college division or Enrollment Services department activities professional development and training as needed related to this duty.
Duty: Provide support to the Advising & Counseling front desk and college lobby reception area.
Tasks include: but not limited to
  • Provide excellent and positive customer service following the CPTC C.A.R.E.S model use active listening and strong written and oral communication skills.
  • Triage students in Advising & Counseling office and CPTC lobby reception as assigned to ensure quick and timely assistance.
  • Answer the Advising & Counseling and College phone system (operator option) direct calls as needed and return operator voice messages.
  • Inform and assist students staff and faculty and the public with information and general processes related to getting started at CPTC program information and requirements high school completion options campus tours and other programs and services in addition to necessary forms and next steps.
  • Independently resolve problems and response to a large volume of inquiries via face-to-face phone fax chat virtual and email about college programs and department services.
  • Instruct and demonstrate to students staff faculty and the public the use of the college website and student portals including all online functions such as registration and general information.
  • Keep up to date in services processes policy changes to ensure information provided is current.
  • Schedule faculty counselor appointments.
  • Provide administrative support as needed or assigned.
  • Participate and assist in college division or Advising & Counseling department activities professional development and training as needed related to this duty.

Minimum Qualifications

  • High School Diploma.
  • Minimum of two years of experience in a customer service role.
  • Experience in data entry with attention to detail and accuracy.
  • Experience in computer applications such as Excel Access SharePoint or Word.
  • Experience using a phone system; preferably a multi-line telephone system.
  • Ability to work under pressure and handle high volume services.
  • Ability to handle stressful situations/interactions with students while maintaining best student service and experience.
  • Ability to build and foster positive relationships with the students staff faculty and community members.

Preferred Qualifications

  • Associate degree.
  • Experience working in a college office environment preferably in Student Services.
  • Experience with Washington State Community and Technical College and Student Management System or PeopleSoft.
  • Demonstrated ability to problem-solve troubleshoot and/or identify solutions to resolve issues.
