Operations & Security Specialist

Job Summary
The Security & Operations Specialist is responsible for providing safety and security for campus grounds and its community and providing administrative and operational support for Portland Campus Operations. The position supports Portland Campus facilities management and operation functions such as mail delivery key assignment campus cleaning maintenance and upkeep business continuity and elements of employee onboarding.
Work Schedule
Regularly scheduled: 8:30am-5:30pm Monday-Friday (1-hour unpaid lunch). Adjustments to schedule may be made as required to meet business and campus needs.
Primary Duties and Responsibilities
- Greets campus visitors and checks in vendors. Guides them in using check-in app and/or directs them to where they are going.
- Schedules resource requests for spaces on campus including classrooms conference rooms lounges praxis sessions etc. using campus-wide scheduling software system.
- Reviews prints and posts weekly room schedules outside each classroom and conference room.
- Accepts and distributes campus mail packages and deliveries.
- Routinely checks and replenishes all first aid kits on campus.
- Receives and processes facilities work requests through online work order system. Follows up on requests to ensure completion.
- Supports the Director of Portland Campus Operations in the distribution and retrieval of campus keys to employees and vendors.
- Assists Director of Portland Campus Operations in coordinating special events including coordinating setup needs.
- Supports external and internal events held on Portland campus including the option to work additional evening and weekend hours for Conference and Event Services department as approved.
- Assists the Portland Campus Operations team in hands-on tasks such as cleaning and simple maintenance duties as needed. Provides general cleaning of employee break room.
- Assists Director of Portland Campus Operations with distribution of textbooks to Portland students.
- Creates and distributes replacement Linfield IDs and temporary parking passes. Troubleshoots issues with student or employee access.
- Adjusts door access schedules as approved for events and seasonal changes.
- Participates in winter operations procedures including the removal of snow/ice from stairs walkways building entryways and roadways as needed to allow for safe use of facilities.
- Participates in event preparation setup/tear-down and assists with cleanup after large activities.
- Complies with university safety standards and policies including those relating to the use of personal protective equipment. Participates in required safety trainings.
- Patrols the campus in either a security vehicle on foot or bicycle to provide a safe and secure environment by deterring crime and enforcing university parking policy.
- Contacts people on the university property who are not members of the Linfield community and ensures they are either guests or have appropriate business on the campus.
- Ensures the safety and security of campus facilities by making frequent checks of buildings and grounds. Ensures that buildings are locked and secured after certain hours for protection of persons and property.
- Responds to calls for service and reports of incidents accidents and/or possible crimes.
- Observes and reports suspicious and/or criminal activity.
- Documents and when possible corrects fire/life safety hazards.
- Takes appropriate action as the situation requires:
- Uses presence and verbal commands to mitigate suspicious activity on campus.
- Completes incident/investigation reports.
- Conducts follow-up investigation and interviews persons in connection with the investigation.
- Secures evidence pertaining to the incident.
- Responds to emergency situations and summons emergency medical assistance and/or applies first aid interviews sources and witnesses.
- Makes general drawings of the accident scene and completes accident forms.
- Performs crowd control duties and traffic management duties for university events.
- Works closely and cooperatively with other members and departments of the Linfield community. Cooperates with and works closely to provide support service to both the Police and Fire Departments when they respond to the campus.
- Performs other duties as assigned including following all university policies and procedures.
Qualifications
- High school diploma or GED.
- At least one year of safety/security experience or at least one year of operational support experience; or an equivalent combination of experience and educational training. Experience must demonstrate the ability to:
- Communicate effectively both verbally and in writing with excellent interpersonal and problem resolution skills.
- Ability to maintain composure in stressful situations control a situation and diffuse anger or hostility in others.
- Able to analyze a situation quickly and objectively to determine appropriate course of action.
- Manage multiple projects simultaneously.
- Work independently and cooperatively with team members and in a team environment.
- Exercise professional judgment and collaborative problem-solving skills within policy and procedural parameters of the university.
- Ability to work effectively with a diverse campus community.
- Computer skills necessary for operating systems producing reports etc.
- Possess Oregon DPSST certification as an unarmed private security professional or obtain professional certification within 90 days of date of hire.
- Possess First Aid/CPR/AED certification or obtain certification within 90 days of date of hire.
- Possess valid Oregon drivers license an acceptable driving record and the ability to become and remain certified as a driver of university vehicles.

Work is classified as heavy work of a physical nature in a campus environment with exposure to weather elements working indoors and outdoors. Work involves constant observation verbal communication stooping kneeling crouching reaching standing walking pushing pulling lifting grasping feeling talking hearing seeing and repetitive motions. Physical exertion of up to 100 pounds of force occasionally and/or up to 50 pounds of force frequently and/or up to 20 pounds of force constantly to move objects. Incumbent is at risk for bodily harm or injury in the course of the job.
