The Oregon Health Authority (OHA) Public Health Division (PHD) Center for Vital Statistics is currently accepting applications for the position of Amendments Specialist. This position involves coordinating administrative tasks associated with processing amendments to vital records and delivering direct customer service related to the Amendments program.
What will you do
As an Amendments Specialist you will perform the following duties:
Process amendments to vital records in compliance with established laws policies and procedures.
Screen and review requests submitted applications and documentation for amending vital records for completeness and compliance within established criteria. Review existing records and databases for supporting evidence.
Approve or reject amendment applications.
Amend and update vital records in database and original records.
Resolve discrepancies and incomplete applications by requesting additional information from applicant in cases where applications and documentation do not meet law and amendment cant be completed.
Communicate with the public attorneys community partners colleagues and employees of other government agencies via email phone and letter.
Prepare and send formal agency denial letter outlining reasons on denying records explaining pertinent laws and providing information on court judgment process.
Organize track and file all documentation related to specific amendments for archival storage.
Answer questions related to amending vital records from customers staff county vital records offices and other partners.
Provide backup support for others on the Vital Records team.

What We Are Looking For
Minimum Qualifications: These qualifications must be visible in your application for consideration.
Two years of secretarial or basic administrative support experience that includes records processing generating documents and gathering and sorting data. OR
An associate degree in general office occupations and one year of experience with records processing generating documents and gathering and sorting data. OR
An equivalent combination of education and experience.

Experience in reviewing learning and explaining complex procedures rules and laws.
Experience in analyzing and reviewing applications and documents to ensure compliance with specific requirements.
Experience in data collection database creation report generation correspondence management and form development.
Experience in using Microsoft Word and Excel.
Experience in written and verbal communication with a diverse range of stakeholders including customers government agencies data providers and county partners.
Experience working under pressure in a fast-paced high-volume work environment.
Experience creating promoting welcoming and maintaining a culturally competent and diverse work environment.

Employment is contingent upon a criminal records check and a driving records check that meets OHA criteria at the time of hire and throughout employment.

The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying the salary range will reflect the additional 6.95%. Review the Classification and Compensation page for more details on the classification.
