As a Human Resources Specialist you will play a key role in supporting the employee lifecycle from onboarding through offboarding. This entry-level position involves maintaining employee records coordinating new hire orientation and ensuring compliance with all onboarding documentation. You will also assist in responding to employee inquiries executing critical HR tasks and participating in ongoing HR projects. This position reports to the Manager Human Resources Business Partner.
Responsibilities:
Employee Experience & Support:
- Serve as the first point of contact for HR-related employee inquiries providing accurate and timely support or escalation as needed.
- Oversee the employment verification process ensuring accurate and timely delivery of information to the vendor and handling any additional verification requests as needed.
- Foster positive communication with new hires managers and internal stakeholders throughout the onboarding and offboarding process.
- Assist in strengthening communication between HR and office leads to ensure seamless execution of people processes.
Onboarding Coordination:
- Manage end-to-end onboarding processes in HRIS including system setup onboarding event initiation and workflow updates.
- Coordinate and conduct new hire orientation sessions; maintain up-to-date presentation materials and handouts ensuring all onboarding content is current and compliant.
- Track and file all new hire paperwork ensuring documents are accurately completed and signed.
- Oversee the ordering and timely delivery of onboarding materials and new hire gifts in partnership with office leads across the organization.
- Maintain and improve HRIS dashboards and onboarding business processes; run periodic audits to ensure accuracy and data integrity.
- Monitor and verify I-9 documentation complete E-Verify submissions and manage ID tracking for compliance purposes.
Offboarding & Termination Administration:
- Support employee offboarding processes including preparing and communicating exit paperwork and scheduling exit interviews and surveys.
- Draft severance letters and collaborate with HR leadership and legal on content as needed.
- Manage unemployment claims by gathering and submitting necessary documentation to the vendor coordinating with leadership for additional information when needed monitoring claim deadlines and keeping leadership informed of scheduled hearings.
- Organize and maintain separation folders and ensure offboarding checklists and documentation are complete and audit-ready.
Internship Program Support:
- Assist in the coordination and execution of the internship program including planning and preparation for intern onboarding orientation and engagement activities.
- Organize and schedule Lunch & Learn sessions and other intern development events in collaboration with internal stakeholders.
- Serve as a point of contact for intern-related questions or concerns maintaining communication with leadership and office leads.
- Ensure all necessary documentation such as intern extension letters is completed filed and maintained accurately in accordance with HR procedures.
Reporting & Metrics:
- Prepare routine and ad hoc reports for HR and leadership teams.
- Support data accuracy by reviewing verifying and reconciling information across HRIS reports.
Team Collaboration & Project Support:
- Lead the successful planning and execution of the companys annual volunteer fairs serving as primary lead from start to finish and overseeing all logistics coordination and stakeholder engagement.
- Assist with special HR projects including process improvements acquisitions integrations and HR system enhancements.
- Contribute to process improvements and adopt new technologies that improve operational efficiency.
- Take accountability for personal work follow through on commitments and respond constructively to feedback.
Requirements:
- Bachelors degree in Human Resources Business Administration or a related field
- 1 years of office experience
- Ability to work independently and as part of a team
- Strong interpersonal and communication skills; able provide excellent service
- High attention to detail and ability to handle confidential information
- Proficiency in Microsoft Office Suite
Preferred Skills:
- Experience with cross-border HR support (Canada/Mexico)
- Experience with HRIS platforms (e.g. Workday UKG)
