Job Summary:

The Arizona Department of Administration (ADOA) Directors Office Governors Regulatory Review Council (GRRC) is seeking a Paralegal Project Specialist to join our team. This pivotal role involves close collaboration with the General Counsel and other attorneys providing essential support across a diverse range of legal functions. The ideal candidate will possess strong legal research and writing skills and be prepared to handle responsibilities that include public records review appeals to the ADOA Director and the coordination of on-going legal issues.

This position offers a unique opportunity for individuals seeking varied and impactful work within state government. Due to ADOAs broad responsibilities the Paralegal Project Specialist will contribute to critical operations that directly influence the effectiveness of state government. The ADOA utilizes the Arizona Management System (AMS) which incorporates Lean principles. This means the successful candidate will be involved in continuously improving processes managing projects and problem-solving to plan prioritize manage and measure work related to ADOAs core business functions.

All work including remote work should be performed within Arizona unless an exception is properly authorized in advance.

Job Duties:
  • Manage incoming legal issues including ISAs and monitor related deadlines; draft delegation letters; assist with administrative review appeals; draft and review documents
  • Review public records responses appeals and assist the public records team
  • Determine the appropriate method/procedure for conducting unique legal research projects and make decision regarding complex issues
  • Assist with ADOA records management to include maintaining files and other public records pursuant to the records retention schedule
Knowledge Skills & Abilities (KSAs):

Knowledge of:

  • Arizona public records laws general understanding of ADOAs authority and roles within Arizona state government
  • Demonstrated ability to learn a complex area of law
  • A high level of professionalism proficiency in office management principles and practices and experience maintaining the confidentiality of information

Skills in:

  • Effective professional written and verbal communication
  • Good organizational skills
  • Working independently with a high level of attention to detail
  • Engaging in creative problem-solving
  • Monitoring complex legal deadlines with speed and accuracy
  • Preparing legal memoranda
  • Using various computer applications to prepare documents and reports

Ability to:

  • Organize prepare and maintain legal documents
  • Analyze evaluate and interpret statutes policies and regulations
  • Effectively convey complex legal information
  • Utilize online legal research services (such as LexisNexis)
  • Communicate effectively both orally and in writing
  • Establish and maintain effective working relationships
  • Utilize various software including but not limited to Adobe Acrobat and the Google suite of applications
Selective Preference(s):
  • Prior experience working in google or with a state government agency (2-4 years) preferred
Pre-Employment Requirements:
  • An Associate Degree in Paralegal Studies or a Bachelors Degree in Paralegal Studies or a closely related field
  • OR a Paralegal Certificate. Acceptable paralegal certifications include:
    • Accredited Legal Professional (ALP)
    • Professional Legal Secretary (PLS)
    • Certified Legal Professional (CLP)
    • Professional Paralegal (PP)
    • Certified Paralegal (CP)
    • Advanced Certified Paralegal (ACP)
  • Background and reference check including a criminal records verification
