We are looking for a highly organized and self-motivated Administrative Assistant to provide comprehensive support to help achieve departmental objectives. Working under limited supervision this role handles a wide range of administrative tasks with minimal instruction on routine responsibilities and general guidance on new or special assignments.
The ideal candidate will manage frequent internal and external communications often involving moderately important or sensitive information. This position requires strong attention to detail excellent communication skills and the ability to maintain confidentiality while supporting a dynamic and fast-paced team environment.
1) Performs a variety of administrative support functions by receiving and screening visitors; answering phones; opening/sorting/processing/distributing mail; typing correspondence; ordering supplies; processing invoices check requests system requests; maintaining employee time records; preparing scheduling and/or coordinating activities appointments meetings travel arrangements shift coverage and/or training. Takes necessary actions to ensure priorities are met and confidential hazardous or sensitive material is handled in a professional manner maintaining or exceeding established processing and accuracy standards.
2) Assists in performing department functions such as claims processing system administration payment processing inspections routine planning and procurement administering/coordinating specialized or unique programs services or long-term projects which involve multiple processes.
3) Inputs formulates and maintain all types of documents using advanced word processing; retrieves information from a variety of computer/software commands to manipulate data; initiates transactions; generates reports documents or correspondence; runs queries; maintains database(s) or spreadsheet(s).
4) Gathers compiles assembles monitors tracks and/or organizes information data or files; generates reports as needed and creates training analysis audits calculations research reviews examinations and/or evaluations of department related documents.
5) Produces reports in support of the monthly budget variance analyses provided to revenue and expense data in the corporate revenue investigates and evaluates data; organizes and structures information; handles timely/sensitive information; coordinates activities and monitors results.
6) Monitors a variety of tracking procedures including department O&M have responsibility of working fund drafts and/or department credit card balancing.
7) Operates and/or maintains department office functions on department system(s) associated with department workload.
8) Provides front-line customer service; assisting with research problem resolution; obtaining materials; providing guidance on procedures instructions practices and results are prompt courteous and accurate.
Hybrid: Employees in hybrid roles work both in their home offices (virtually) and alongside their colleagues (in person).
In order for employees to build strong relationships and to promote meaningful in-person interactions hybrid employees are expected to work about 40% of their time in-person at an APS or other (non-home office) location.
*Employees are expected to reside in Arizona (or New Mexico for Four Corners-based employees).
*Working from a home office requires adequate technology and an appropriate ergonomic set up.
