Role Summary

Provides coordination and administrative support to the General Engineering program and the First Year Engineering (FYE) course sequence. Works closely with the Director of General Engineering and the Assistant Dean for Student Success to ensure smooth instructional and student support operations. Oversees teaching assistant (TA) assignments assists with student enrollment processes and supports faculty and student needs across multiple high-enrollment courses. Works under limited supervision and exercises initiative in responding to academic and administrative program needs.

Examples of Work Performed

  • Coordinates staffing and support for the First Year Engineering (FYE) program.
  • Assigns schedules and tracks Teaching Assistant (TA) placements for ENGR 100 ENGR 111 and ENGR 300-level courses ensuring workload distribution.
  • Acts as primary liaison for TAs and faculty regarding expectations training and administrative processes such as time card submission.
  • Maintains detailed records of TA assignments course sections and student enrollments to ensure accuracy and compliance with School of Engineering and Institutional policies.
  • Supports enrollment and conditional enrollment processes for Freshman and General Engineering students including registration adjustments and coordination with academic advisors.
  • Provides administrative support to faculty ahead of each semester including course scheduling and classroom / lab assignments.
  • Collaborates with academic departments and administrative offices to support curriculum scheduling class assignments and student success initiatives.
  • Responds to student inquiries and requests related to the General Engineering and FYE programs and provides timely follow-up.
  • Utilizes strong customer service skills to handle inquiries resolve issues and support a positive office environment
  • Collects data and prepares various reports for internal and external use.
  • Monitors accounts and assists in departmental budget planning preparation and compliance.
  • Serves as a liaison to Procurement Accounting and Human Resources.
  • Coordinates and processes various administrative forms for purchasing travel SAP facilities and employment.
  • Implements internal processes and assists with making recommendations for continuous improvement.
  • Oversees departmental filing system and provides necessary documentation for both internal and external use.
  • Schedules and coordinates calendars for meetings events and other departmental activities.
  • Resolves discrepancies with accounting records.
  • Arranges and assists with the on-boarding of new employees.
  • Performs similar or related duties as assigned or required.

Essential Functions

These essential functions include but are not limited to the following. Additional essential functions may be identified and included by the hiring department.

1. Plans and coordinates office-wide facilities maintenance space planning moves equipment installations and other events or projects with internal and external stakeholders.
2. Monitors inventory and places orders for office equipment supplies or provisions.
3. Manages or administers accounting processes including budgeting invoice processing employee expense reports reimbursements petty cash and time tracking.
4. May support HR activities or initiatives with employee onboarding and interview coordination and training.
5. Performs company database or system administration tasks including data input reporting user support and upgrades.
6. Resolves day-to-day problems and coordinates with stakeholders to obtain solutions

Education:Bachelors Degree
