Position Summary

Sovah Health is looking for the ideal candidate who will be responsible for supporting the managers/directors of the clinic.

Prepares statistical reports and performs clerical functions such as preparing and sending outgoing mail distributing incoming mail maintaining filing systems entering data and maintaining databases typing documents and correspondence photocopying scanning and faxing.

Greets visitors and communicates with patients and providers; places answers and directs phone calls and distributes messages.

Handles information requests including reviewing files and records answering inquiries and responding to incoming work requests.

Coordinates work flow and compiles records of office activities; maintains personnel files; tracks and requests licensure as needed.

Organizes coordinates and schedules meetings and appointments; attends meetings committee meetings and records meeting minutes and ensures meeting content is recorded accurately.

Inputs Kronos exception forms daily coordinates and ensures the timely completion of payroll; keys PTO for office coordinators; tracks PTO for providers; answers questions regarding Kronos; prepares check requests for payroll extra hours bonus checks rents contracted individuals etc.

Maintains department records files policy and procedure manuals and assists in maintaining education files for employees.

Carries out clerical/secretarial duties; orders supplies for offices from GHX and SMART; orders supplies for Regional Billing Office and Admin; orders clinic letterhead envelopes appointment and business cards and prescription pads etc.

Maintains a well organized office system for filing storing and retrieving information for efficient departmental operations; initiates and maintains orderly filing system for consistent ease of document retrieval.

Composes routine letters memos and meeting minutes as required; coordinates Hospital and Clinician meetings and maintains minutes and formatting.

Minimum Qualifications

Minimum Education

High school diploma or equivalent required.

Required Skills

Requires critical thinking skills decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action.

Requires flexibility in scheduling and ability to work all shift patterns including week-ends and holidays to ensure appropriateness and continuity of care for the patients of Sovah Health Danville.

Minimum Work Experience

Three (3) years of experience in office systems technology required
