The Procurement Information Coordinator will develop implement and assist with communication strategies procurement templates and design as well as effective messaging. The Information Coordinator will support the procurement team district staff and vendors by providing timely access to information maintaining accurate records and facilitating effective communication to ensure compliance with district policies and state regulations.
Coordinate and review process of board document preparation for Procurement Services Department and other departments in conjunction with board briefings and regular board meetings.
Prepare and send notifications for Restricted Contact Period to Board Services Superintendent and Cabinet members weekly and posts to the District Procurement website page.
Prepare and send notifications to Board of Trustees for procurement as described in CH(Local) Procurement and Acquisition Board Policy.
Maintain and update the Procurement Services Website and Intranet Site to include posting of legal advertisements and procurement documents.
Manages and is responsible for Procurement newsletters quick facts updates of other Procurement publications and forms and disseminates them to district staff and departments.
Assists with interlocal agreements tracking memberships fees and reporting.
Liaison for Public Information Requests for Procurement Services includes processing requests and a primary point of contact working with all levels of administration to collect and prepare documents for delivery.
Liaison for Records Management of non-personnel related documents
Maintain department records in accordance with established policies procedures and audit guidelines. Recommend changes to programs services and/or operations to ensure compliance.
Coordinates and creates processes and written procedures for the Procurement ServicesDepartment in order to guide staff to comply with department directives contractual requirements and district policies.
Execute an effective system that includes applications and procedural training programs that may include Video web and how-to documents and compliance and procedural manuals.
Oversee asset management of the Procurement Services Department.
Responsible for Procurement Services monthly payroll and reporting.
Bachelors Degree from an accredited university preferred.
Three years of directly related experience in training and/or communications; procurement background preferred.
Demonstrated computer skills specifically with MS Windows and MS Office Professional.
Knowledge of district procurement policies and procedures.
Excellent organizational communication and interpersonal skills required to achieve the goals of the position.
Effective interpersonal skills to interact with all levels of employees staff members and the general public.
Ability to provide information to staff in a way that maximizes productivity and efficiency.
Planning and problem solving/investigative skills as required to research inquires related to job responsibilities.
Ability to coordinate multiple projects and assignments high degree of flexibility required.
Ability to keep accurate records and prepare clear and concise written reports.
