The Opportunity

The Institutional Team Coordinator will be responsible for supporting the Director of Client Management as well as the Institutional Team. This role will keep the team running efficiently foster culture and serve as the point person for team communication.

Role Responsibilities

  • Administrative support to the Director of Client Management and Institutional Portfolio Managers
  • Coordinate and schedule meetings (internal and external)
  • Manage various department meetings
  • Event management for team building and team retreats
  • Expense processing and approvals for team members
  • Onboarding and offboarding of team members
  • Assist with tracking of Institutional budget
  • Manage sponsorship process with Marketing
  • SME for administrative tools (e.g. Robin desk booking platform Melon travel platform Office 365)
  • Provide administrative support for compiling and formatting of various documents (e.g. quarterly editorial briefs presentations agendas)
  • Planning and supporting reception with various Toronto office events
  • Manage events/cultural activity budget for TO office
  • Active participant of the Employee Engagement & Resource Team this is a cross departmental team that works to align teams across Mawer streamline firm wide processes improve operational efficiencies and serve as culture ambassadors
  • Other administrative tasks as required

Desired Qualifications

  • Office Administration Diploma or Certificate preferred
  • Minimum 35 years of experience in an administrative role; experience in investment or finance is an asset
  • Proficiency in MS Office specifically Outlook Word and Excel
  • Proficiency in O365 Teams and SharePoint
  • Strong written and verbal communication skills
  • Excellent organizational and time management skills; able to prioritize effectively in a fast-paced environment
  • High attention to detail with strong problem-solving abilities
  • Professional reliable and punctual with a warm courteous and enthusiastic demeanor
  • Exercises excellent professional judgement and maintains confidentiality at all time
  • Comfortable interacting with sophisticated clients and stakeholders
  • Able to work independently and collaboratively within a team
  • Adaptable and willing to take on additional responsibilities as needed
