The mission of VCUs Office of Development and Alumni Relations (DAR) is to maximize philanthropic support by engaging stakeholders with our institution working in partnership with all VCU schools programs and campuses as one development and alumni relations community and implementing the best practices and efficient strategies to achieve a comprehensive development program.

The Development Coordinator works directly with Development and Alumni Relations colleagues to achieve Virginia Commonwealth Universitys (VCU) fundraising and engagement goals by performing a wide variety of administrative logistical operational and technical tasks. The Development Coordinator for VCU Libraries serves as the central point of contact for responding to constituent inquiries anticipating volunteer and donor need for information and leveraging university resources.
This is a part-time wage position and is not eligible for participation in the states health benefits program life insurance employer-funded retirement or cash match programs. The work-hour limit for hourly employees is 1480 hours annually (365 consecutive days). Work hours include regular and overtime hours and any other hours worked in a second job with VCU.

Primary responsibilities:

  • Provide support for administrative needs including but not limited to managing calendars planning travel and donor visit itineraries conducting and compiling preliminary research drafting letters drafting briefs maintaining excel documentation providing fiscal and budget support pulling lists of donors and prospects library donor event management and project management;
  • Coordinate implement and track acknowledgement processes by drafting personal and detailed acknowledgement letters and other special correspondence as needed; inform the major gift officer assigned to that donor and others (dean faculty member) as appropriate;
  • Enter development and engagement actions with donors into VCUs donor database;
  • Provide assistance with donor and gift intent data integrity to Gifts and Records Management when issues of clarification arise; share and update changes of contact information and biographical records;
  • Serve as initial point of contact for the office; determine matters that require the attention of others and refer and escalate as needed;
  • Maintain confidentiality while determining appropriate responses to sensitive and complex issues;
  • Think strategically anticipate necessary actions and provide support materials independently;
  • Provide travel purchasing and reimbursement assistance for fundraising staff
  • Take and share meeting minutes;
  • Participate in trainings and share information with the team;
  • Serve as an active team player in projects or events that require full team collaboration;
  • Anticipate project needs and discern priorities within budget and deadline.

Qualifications

Minimum hiring standards:

  • Computer proficiency and experience with Word Excel Access PowerPoint Adobe and Google suite
  • Ability to work both independently and part of a team
  • Ability to manage time efficiently prioritize work and handle multiple projects simultaneously
  • Ability to implement and manage budgets and project plans
  • High level of customer service and excellent verbal and written communication skills
  • Ability to navigate complex working environments with multiple stakeholders and willing and able to ask for help as needed
  • Motivated by mission-driven work
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU

Preferred hiring standards:

  • Undergraduate degree from an accredited university or a minimum or equivalent experience in a fast-paced complex environment
  • Experience managing calendars in a fast-paced complex environment
  • Experience managing a purchasing card and managing travel reimbursements
  • Previous experience working in university advancement
