About the Role
We are seeking a detail-oriented Admin Support professional to join our team on a part-time basis. This role is perfect for someone who thrives in a structured environment and enjoys working with data customer interactions and financial documentation. Youll play a crucial role in supporting our daily operations while maintaining accurate records and ensuring smooth administrative processes. Youll be responsible for managing various administrative and accounting tasks that keep our business running efficiently.
Key Responsibilities
- Data Entry & Record Management: Perform efficient data entry and maintain meticulous records across all systems
- Accounts Receivable: Follow up on unpaid accounts and manage outstanding invoices
- Booking Management: Process and enter customer bookings received via email
- Reporting & Presentations: Prepare detailed reports and draft presentation templates using tools like Google Slides
- Customer Service: Address and respond to customer inquiries via online chat platforms
- Financial Documentation: Prepare and organize sales invoices contracts and other financial documents
- Database Management: Update and maintain customer records marketing lists and other databases
- Cross-Department Coordination: Work with other departments to ensure smooth workflow and timely task completion
- Administrative Support: Assist in organizing and scheduling meetings appointments and events
- Process Optimization: Collaborate with the team to implement and optimize administrative processes
Requirements
- 1-2 years of relevant experience in providing admin assistance
- Essential Software Skills: Proficiency in Xero accounting software and Microsoft Excel
- Strong attention to detail and accuracy in data entry
- Excellent organizational and time management skills
- Professional communication skills for customer interactions
- Ability to work independently and manage multiple tasks simultaneously
- Experience with online chat platforms and email management
- Basic knowledge of financial documentation and invoicing processes
