THE ORGANIZATION

The San Francisco Symphony is widely considered to be among the most artistically adventurous and innovative arts institutions in the U.S. Under the artistic direction of Esa-Pekka Salonen the Orchestra is a leading presence among the American orchestras at home and around the world celebrated for its artistic excellence creative performance concepts active touring award-winning recording and standard-setting education programs. Esa-Pekka joined the San Francisco Symphony in 2020 along with a group of eight Collaborative Partners from a variety of cultural realms who collectively form a new artistic leadership model.

The San Francisco Symphony presents more than 220 concerts and presentations annually for an audience of nearly 450000 in its home of Davies Symphony Hall and through its active national and international touring. A Cornerstone of the organizations mission the San Francisco Symphonys education programs are the most extensive offered by any American orchestra today providing free comprehensive music education to every first- through fifth-grade student in the San Francisco public schools and serving more than 75000 children students educators and families annually.

The SFS has won such recording awards as Frances Grand Prix du Disque and Britains Gramophone Award as well as 15 Grammy Awards.

In 2004 the SFS launched the multimedia Keeping Score on PBS-TV and the web. In 2014 the SFS inaugurated SoundBox a new experimental performance venue and music series located backstage at Davies Symphony Hall. SFS radio broadcasts the first in the nation to feature symphonic music when they began in 1926 today carry the Orchestras concerts across the country. In 2021 SFS a digital streaming platform was launched to subscribers all over the world.

JOB SUMMARY

The Executive Assistant to the Chief Philanthropy Officer reports to the Chief Philanthropy Officer and is a member of the Development Team. The Executive Assistant focuses primarily on logistical and administrative support for the Chief Philanthropy Officer. The Executive Assistant serves as the primary point of contact for internal and external parties to reach the Chief Philanthropy Officer for logistics and meeting scheduling. The Executive Assistant will also provide support to the Development Team on an as needed basis.

RESPONSIBILITIES

  • Supports the efforts of the Chief Philanthropy Officer. Responsibilities include but are not limited to expense reports ticketing logistics travel arrangements and meeting planning and logistics.
  • Coordinates and maintains the Chief Philanthropy Officers calendar including meetings and activities with the Development Team Leadership Team Board of Governors and Board Committees donors partners and other external constituents.
  • Help manage Chief Philanthropy Officers email inbox. Draft edit and send correspondenceand various documents as needed.
  • Ensure data is added edited and audited in Tessitura and relationships between records are accurately noted throughout the database
  • Attend and/or provide staffing for volunteer meetings events and concerts as requested.
  • Maintain working knowledge of Development-wide events and protocol to answer Board donor or other inquiries on behalf of the department.
  • Recognize opportunities and anticipate organizational needs for the Chief Philanthropy Officer and the broader Development department.
  • Conduct job functions and activities in alignment with the principles of the SFSs Diversity Equity and Inclusion (DEI) work and support the organizations DEI work through participation in working groups and other initiatives as possible.
  • Perform additional duties as required by the SFS.

Qualifications

QUALIFICATIONS

  • 2-4 years experience directly supporting high level development executive leaders.
  • Experience working with senior management board members musicians civic and cultural leaders preferred.
  • Strong situational awareness; able to handle confidential and sensitive information with discretion.
  • Strong organizational skills with ability to work independently and manage highly detailed tasks.
  • Ability to handle multiple tasks and priorities and meet deadlines in a high-volume fast- paced environment.
  • Excellent communication skills both written and verbal.
  • Ability to professionally and diplomatically communicate and interact with a wide variety of internal and external stakeholders. Ability to collaborate effectively in a team environment.
  • Advanced knowledge of MSWord Excel Outlook.
  • Ability to proofread well and to write with clarity and style.
  • Excellent problem-solving and project management skills.
