Salary: $17.69 - $25.47/Hour *Salary Includes 2.25% Stipend

Do you have a secretarial background and an eye for detail The Maine State Police is seeking an Office Associate II to provide essential administrative support to the Northern Field Trooper Commander and members. This unit depends on the contributions of all personnel and as Office Associate II you would be responsible for ensuring their success by coordinating training and travel requests developing standard work procedures and tracking contracts and licenses. With a focus on accuracy and confidentiality the ideal candidate will be adept at composing business correspondence and reconciling funds. **This is a fixed duty post in Bangor with occasional travel to Ellsworth.

Primary responsibilities include:

  • Assist the post in filling overtime and special details.
  • Create and export recordings from cruiser video system.
  • Answers and relays all incoming telephone calls and messages greets and directs visitors and handles sales of materials reports and fee-based services.
  • Prepares required documents to purchase supplies.
  • Complies with the requirements of State policies including those concerning human resource components of security protocols of agencyinformation security/confidentiality policies for state business purposes.
  • Create and use varied correspondence formats and compose standard business correspondence
  • Post to amend and/or update web pages using established content and knowledge of modern office software.
  • Track and/or monitor contracts and/or licenses .
  • Receive and greet visitors and determine customer needs .
  • Place all orders for equipment and supplies necessary for the Unit.
  • Filing of State Police records training documentation etc and producing those documents as requested.
  • Develop standard work procedures within established guidelines .
  • Process invoices track accounts and coordinate training and travel requests.
  • Organize meetings assist with human resources documentation prepare travel and training requests as well as receive sort and deliver mail.
  • Assist with promotional processes interviews and documentation.

Skills or knowledge required:

  • Ability to perform basic secretarial duties.
  • Ability to prepare standard reports.
  • Ability to reconcile funds.
  • Ability to determine detect and correct errors and irregularities and take appropriate action in accordance with established procedures.

Minimum qualifications:

Training education or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex varied office support tasks and 2) the ability to use independent decision-making on the appropriate processes to follow information to process and actions to take in accordance with standard positions in this classification assume the qualifications of:Office Assistant IOffice Assistant II andOffice Associate I.


LICENSING/REGISTRATION/CERTIFICATIONREQUIREMENTS:(These must be met by all employees prior to attaining permanent status in this class.)

Some positions may require possession of a valid Class B Maine Motor Vehicle Operators License.
