Job Description

The Admissions Officer plays a vital role in student recruitment at Claremont School and in supporting the Admissions Team to meet enrolment targets. Reporting to the Head of Admissions this role supports and contributes to the day-to-day admissions process promotes Claremont as the school of choice in the local area and communicates the schools core message of Amazing Learning.
Acting as a true ambassador the Admissions Officer engages with prospective families agents and the wider school communityincluding teaching and support staffto ensure a seamless customer focused experience. Through personal interaction the post holder will help convey the schools values and educational vision with clarity and impact.

Key Responsibilities
1. Recruitment and enrolment management:
Manage and track admissions enquiries for both domestic and international students via the HubSpot CRM ensuring all stages of the process are logged and followed through.
Provide timely personalised responses to enquiries addressing each familys specific needs while delivering a warm efficient and customer-focused admissions experience.
Coordinate visits interviews and toursboth in-person and onlineensuring relevant staff are well briefed and logistics are smoothly managed.
Follow up on all enquiries visits and interviews to encourage progression to registration and formal application.
Record reasons why families choose not to proceed maintaining up-to-date data for internal review.
Coordinate entrance testing and interviews with academic staff including Learning Support where needed to ensure appropriate academic placement.
Organise taster days communicating clearly with all staff involved and ensuring a positive experience for prospective pupils.
Invite new families to transition events and ensure key onboarding steps are completed.
Oversee completion and collection of all enrolment documentation including Acceptance Forms Terms and Conditions Medical Forms and required permissions.
For international students ensure CAS visa documentation and travel details are accurately recorded in the MIS.
Send tailored Joining Packs to new families including academic information onboarding materials and any required pre-start preparation.
Update the School Office with pupil roll changes keeping relevant school leaders informed of new joiners and leavers.
Support the Head of Admissions by maintaining accurate student forecasting data for KPI reporting.
Coordinate scholarship applications and assessments liaising with the Prep Headteacher and Heads PA to manage logistics and communication.
Provide timely feedback on scholarship outcomes to families and maintain detailed records of acceptances and declines.
2. Networking & Building relationships:
Support the promotion of Amazing Learning by sharing student successes and progress stories with parents and the wider community helping to drive both new enquiries and retention.
Assist in the planning and delivery of Open Events and corporate engagement activities involving local businesses with a focus on student recruitment and retention.
Work closely with the Head of Admissions to coordinate Familiarisation Visits for educational agents ensuring a professional and engaging experience.
Collaborate closely with parent-facing administrative staff to ensure smooth coordination across all internal stakeholders contributing to a seamless admissions journey and a strong first impression for all visitors.
Support the delivery of effective post-enrolment communication and engagement with new families helping to ensure a welcoming and consistent experience beyond the point of admission.
Assist in the implementation of the schools customer loyalty initiatives ensuring alignment with the regional programme and supporting parent satisfaction and retention efforts.
3. Enrolment targets & Data management:
Support the school leadership and Head of Admissions by providing accurate enrolment and retention data to inform recruitment and retention targets including identifying trends and patterns in demand.
Assist in preparing reports and summaries based on available data highlighting key insights and supporting the Head of Admissions in making operational adjustments to recruitment and retention activities.
Maintain the CRM system (e.g. HubSpot) by ensuring data on prospective students and families is accurate up to date and consistently tracked through each stage of the admissions pipeline.
Contribute to the achievement of agreed retention goals by supporting related administrative tasks and maintaining accurate records of leavers and joiners.
Help ensure the school has access to clear and current retention data supporting the Head of Admissions in tracking progress against targets.
Assist in the delivery of retention initiatives by helping gather feedback identifying at-risk families early and coordinating follow-up actions as directed by the Head of Admissions.

Excellent organisation skills
High proficiency with all Microsoft software packages including Word PowerPoint and Excel. Experience with iSAMS HubSpot and Engage would be desirable (relevant training would be provided where required)
Strong customer service ethos and excellent problem-solving ability
Articulate communicative and able to present information in a concise and professional manner.
Cultural sensitivity and awareness
Native level fluency in written and spoken English

3. Qualifications
Degree professional qualifications or relevant work-related experience
4. Experience
Demonstrable experience in the commercial service sector (ideally in the educational sector and the student recruitment and enrolment fields but not a must).
Strong data management analytical skills and proficiency in technology for accurately organising analysing admissions data generating reports and ensuring compliance with data regulations.
Experience in managing a CRM system (HubSpot or Salesforce preferred).

The Nursery and the Prep School are based in St Leonards on Sea and the Senior School is located in Bodiam East Sussex.
