Job Description

Overview

The Utah Forest Restoration Institute (UFRI) in the Department of Wildland Resources (WILD) at Utah State University (USU) is seeking a dedicated part-time (0.5 FTE) Staff Assistant (Staff Assistant II) to provide administrative support to UFRI leadership and assist with the day-to-day operation and management of the institute. The Staff Assistant will serve as a key member of our growing team ensuring the professional effective and efficient execution of the processes and workflows of the institute and playing a critical role in advancing our mission of reducing wildfire risk and promoting forest health across the state.

Responsibilities

  • Provide scheduling and calendar support for the UFRI Director and Associate Director.
  • Sort screen and distribute incoming and outgoing mail.
  • Monitor and maintain institute email account; answer phone and emails and/or direct them to the appropriate parties; and receive and direct visitors.
  • Perform routine office functions including data entry filing and archiving.
  • Curate contact lists of internal and external stakeholders and maintain listservs and electronic distribution lists (e.g. MailChimp).
  • Conduct research compile data and compose standard documents correspondence reports and presentations.
  • Plan or assist in the planning of UFRI programmatic activities and events.
  • Manage and maintain UFRI office spaces and supervise student employees.
  • Assist in planning and administration of institute staff travel including processing of travel authorizations and travel reimbursements.
  • Perform miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualification:

  • Two (2) years of experience in an office setting or an associate degree/vocational training.

Preferred Qualifications:

  • Bachelors degree.
  • Previous relevant work experience in an academic setting (higher education).
  • Knowledge of Utah State University policies procedures and systems.

Knowledge Skills and Abilities:

  • Excellent organizational skills.
  • Excellent critical thinking skills.
  • Adept at exercising sound judgment and creative problem solving.
  • Strong oral and written communication skills.
  • Advanced word processing and spreadsheet/database skills.
  • Advanced skills with routine office equipment including printers/scanners/copiers telephone systems and audiovisual equipment.
  • Ability to work with little or no supervision.
