Job Description

Marion County requires on-site work. Remote work is not available.

The mission of the District Attorneys Office is to seek justice through:

  • Promoting accountability for criminal offenders.
  • Interpreting enforcing and executing law.
  • Responding to the concerns of victims and the public; and
  • Working cooperatively with members of the justice system.

New employees typically start at step 1 of the pay scale ($33.67/hour).

GENERAL STATEMENT OF DUTIES

Responsible for the supervision of administrative and technical support staff in one or more programs of the District Attorneys Office. Responsible for performing advanced and or complex technical work in assigned areas; providing technical direction and problem resolution to program services and activities; ensuring staff and program compliance with applicable laws regulations policy and procedures.

SUPERVISION RECEIVED

Work under the general direction of the Administrative Services Manager or Trial Team Leader who determines goals assigns work and reviews performance through reports observation and conferences.

SUPERVISION EXERCISED

Exercise full supervision over administrative and technical support employees and volunteers. Incumbents participate in selecting new personnel provide for training evaluate performance respond to grievances and recommend personnel actions.

Typical Duties - Duties include but are not limited to the following

Supervisor to Adult Prosecution and Juvenile Support Staff:

  • Assist with recruitment onboarding training and provide mentoring.
  • Monitor workloads review distribution of duties for staff.
  • Provide coaching and participate in oral/written discipline actions.
  • Oversee attendance & ensure coverage during absences or vacancies.
  • Audit timesheets for accuracy and submit to payroll specialist.
  • Prepares and conducts oral/written yearly performance evaluations.
  • Conducts regular one/one meetings and regular team/staff meetings.
  • Backup to all Adult Prosecution support staff.
Specialized Duties:
  • In-custody warrants: Work with jail paperwork update case management system and proper disbursement with assistance from staff.
  • Detailed Cases: Extraditions Warrants In-custody Fugitive warrants.
  • Grand Jury: Support staff as needed with scheduling as well as witness communication.
  • Answers calls forwarded for information from Reception and support staff.
  • Data entry as required for case management.
  • Back-up support for Special Prosecutor cases and post-conviction relief cases as needed.
  • Work with Administrative Services Manager on special assigned projects.
  • Collaborate with Trial Team Leaders Chief Deputy District Attorney and District Attorney as needed.
  • Case Management System: Add defense attorneys merge parties update law enforcement officers and attorneys as necessary.
  • OSP/FBI Firearm requests.
  • DDA Annex Calendar coverage and monitoring.
  • Program Admin: File/Serve LOIS & Axon IT issues and SME for ePros.
Administrative Functions:
  • Assist management team in recommending drafting and implementing new procedures for case management system office policies and other areas as necessary.
  • Attend supervisor/management meetings and participate in trainings.
  • Attend Annex meetings as necessary to stay informed of changes/processes.
  • Compose correspondence: At times of a sensitive/confidential nature.
  • Prepare legal documents from written and/or general instruction.
  • Creates and tests new documents/reports.
  • Participates in focus groups for new processes and office procedures.
  • Participates in management capacity in the event of a safety emergency.
Outside Business Partner Contact:
  • Problem solving and follow up.

Point of contact for other support staff in all District Attorney divisions.

Other duties as assigned by your supervisor.


Requirements for the Position

EXPERIENCE AND TRAINING

  1. Graduation from high school preferably supplemented with courses in typing and office practices; AND
  2. Four years of increasingly responsible experience in office and clerical work including two years of law-related experience which includes one year of supervisory experience (legal supervision preferred); OR
  3. Any satisfactory combination of work education training or experience relevant to the position as determined by Marion County.

SPECIAL REQUIREMENTS

KNOWLEDGE SKILLS AND ABILITIES

Thorough knowledge of principles and procedures of supervision; legal terminology and principles; criminal/civil/administrative court legal procedures; statistical research techniques and procedures; modern office procedures and methods; capabilities and usage of modern office equipment; data collection techniques; English composition spelling and grammar; public relations techniques and concepts.

Considerable skill and ability to organize and maintain modern administrative legal systems and procedures; communicate effectively verbally and in writing. Conduct independent research; define administrative problems and procedures. Collect evaluate and summarize data; prepare clear and concise reports. Establish and maintain cooperative working relationships with other employees and the public; operate modern office equipment; supervise the work of assigned staff.


PHYSICAL REQUIREMENTS
Operates a motor vehicle; sits stands; moves about the work area; bends; keyboard operation; carries and lifts items up to 10 lbs.; reaches; grasps items; repetitive motion of hands and wrists; hears at a normal speech level; read 12 pt. font.

PUBLIC SERVICE LOAN FORGIVENESS
Marion County is a qualifying public employer for the Public Service Loan Forgiveness Program. Through the Public Service Loan Forgiveness Program full-time employees working at the County may qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan. Questions about your loan eligibility should be directed to your loan servicer or the US Department of Education.

VISA SPONSORSHIP
Marion County does not offer VISA sponsorship. Within three days of hireyou will be required to complete the US Department of Homeland Securitys I-9 form confirming authorization to work in the United States.
